Trust Funding Coordinator
Carolina Estate Planning • Remote
Posted 3 hours ago
You've done this work before — maybe at a bank's trust department, an insurance company's beneficiary services team, a title company, or another estate planning firm. You know the drill: calling institutions, chasing down beneficiary forms, making sure a deed actually gets recorded, and explaining to a nervous client why "funding" their trust matters just as much as signing it.
Carolina Estate Planning is a fast-growing estate planning, probate, and fiduciary litigation firm serving physicians, business owners, and high-net-worth families across North Carolina. We built our reputation on a full-service promise: we don't hand clients a stack of forms and wish them luck. We do the work. This role is the engine behind that promise.
Health and wellness benefits include Medical, Dental, Vision, EAP, Life, and 401(k) match.
What you'll own:
Managing every trust funding matter from signing to full completion — bank accounts, brokerage, retirement beneficiaries, life insurance, real estate deeds, business interests, and digital assets
Calling and coordinating directly with banks, brokerages, insurers, and retirement custodians to get the right forms and get them processed
Preparing beneficiary change forms, deed drafts, and assignment documents from firm templates
Leading client funding meetings — walking families through what's been done and what's left, in plain language
Keeping a live funding checklist on every matter so nothing slips through the cracks
Running annual funding audits for clients on our maintenance program
What you bring:
2+ years in a role touching trust funding, bank/brokerage trust operations, insurance beneficiary services, title/escrow work, or paralegal support
Comfort being the person on the phone with a bank rep who doesn't want to cooperate
Sharp attention to detail — a wrong beneficiary name on a form is a real problem, not a typo
Strong written communication; you can explain a legal process without sounding like a lawyer
Self-direction — you'll get a checklist and a training guide, not someone hovering over your shoulder
Nice to have:
Experience with PracticePanther or similar practice management software; familiarity with North Carolina real estate recording (we'll train you either way).
Compensation
$60,000 - $65,000
