The Trust Funding Coordinator is the professional in the firm ensuring that all assets in a client’s estate plan are properly transferred into the trust, making the trust “fully funded” and legally effective. This role bridges the gap between the client, the law firm, and financial institutions, ensuring that every required step in the funding process is completed accurately and on time.
A fully funded trust ensures that the client’s estate plan works as intended — avoiding disputes, ensuring smooth asset transfer, and meeting legal requirements. Without a Trust Funding Coordinator, funding tasks could be overlooked, delaying or undermining the effectiveness of the estate plan.
The Trust Funding Coordinator is the operational engine that turns a signed estate plan into a fully functional, asset‑backed trust, coordinating all the necessary paperwork, communications, and institutional processes to achieve that goal.
Identify assets to fund: Review estate planning documents to determine which accounts, properties, or interests need to be transferred into the trust.
Prepare and process funding documents: Draft and submit deeds, beneficiary change forms, assignment documents, and other required paperwork.
Coordinate with institutions: Contact banks, brokerages, insurers, retirement custodians, and title companies to retitle accounts, change beneficiaries, and record deeds.
Track progress: Maintain a live funding checklist, monitor deadlines, and follow up until all assets are transferred.
Communicate with clients: Provide updates, explain processes in plain language, and address questions or concerns.
Maintain records: Keep detailed, accurate documentation of all transfers and correspondence.
Resolve issues: Identify and overcome obstacles that delay funding, such as missing forms or institutional delays.
Attention to detail and organizational skills to manage multiple tasks and deadlines.
Clear communication abilities to explain legal processes to non‑legal clients.
Client‑focused mindset to build trust and ensure a smooth experience.
Technical proficiency with office software and, often, practice management systems.
Experience in law firms, banking, financial services, or real estate is preferred but not always required.
