We offer a multidisciplinary pediatric and adolescent therapy clinic providing comprehensive services, including Speech-Language Therapy, Occupational Therapy, Physical Therapy, and Applied Behavior Analysis (ABA). We serve children and adolescents with developmental delays, autism spectrum disorder, and related diagnoses in a collaborative, family-centered environment.

Our team is committed to ensuring timely access to care through strong coordination of insurance authorizations, Medicaid, and commercial benefits verification, scheduling, intake, and billing support.

Position Summary: We are seeking a highly organized and detail-oriented Therapy Services Coordinator to support daily clinical operations and ensure seamless service delivery across all therapy disciplines. This role is central to patient access and revenue cycle flow, including intake coordination, insurance verification, prior authorizations, scheduling, and billing support. The ideal candidate has experience in pediatric therapy settings, ABA clinics, or outpatient rehabilitation clinics, and is comfortable working in a fast-paced, high-volume environment. The position will start as part-time hourly, but has the potential to grow to full-time in the near future.

Schedule: Part-time; 15-20 hours per week; hourly pay.

Patient Intake & Eligibility

• Manage the new patient intake process from referral to admission
• Verify insurance benefits (Medicaid and commercial plans)
• Determine eligibility for Speech, OT, PT, and ABA services
• Collect required documentation and maintain complete intake records

Insurance Authorizations

• Obtain and manage prior authorizations for all therapy services
• Track authorization start/end dates and units approved
• Submit authorization requests and handle follow-up with insurance companies
• Manage authorization renewals and avoid lapses in coverage

Scheduling & Coordination

• Schedule evaluations, therapy sessions, and ongoing treatment visits
• Coordinate schedules between multiple disciplines (SLP, OT, PT, ABA)
• Communicate with families regarding appointment scheduling and changes
• Work closely with clinical staff to maximize caseload efficiency

Billing & Revenue Cycle Support

• Support the billing department with accurate authorization and eligibility data
• Assist with claims follow-up, denials, and corrections
• Ensure services rendered align with insurance authorization requirements
• Monitor outstanding authorizations and billing issues impacting reimbursement

General Clinic Support

• Maintain patient records in the electronic health record (EHR) system
• Communicate with families regarding insurance updates and approvals
• Collaborate with therapists, supervisors, and administrative staff
• Support compliance with Medicaid, HIPAA, and payer requirements

• 1–3+ years of experience in a medical office, therapy clinic, ABA center, or rehabilitation setting
• Strong knowledge of insurance verification and prior authorizations
• Experience with Medicaid strongly preferred
• Familiarity with pediatric therapy services (SLP, OT, PT, ABA) preferred
• Experience with billing or revenue cycle support a plus
• Strong organizational and communication skills
• Ability to manage multiple priorities in a fast-paced environment
