Posted 3 hours ago
Are you an experienced legal professional looking for steady, reliable income with a firm that values precision and client care? Grimaldi Law Firm is seeking a detail-oriented Signing Coordinator to join our team full-time, IN PERSON, at our Hollywood, Florida office.
This role is ideal for someone who has contracted or notarized for law firms and attorneys in the past and is ready to trade inconsistent gig work for a steady, dependable paycheck with one firm. You'll be the final checkpoint on every estate planning package before it goes out for signature, the person who runs client signings from start to finish, and the one who makes sure every deed is recorded and filed correctly. If you have a sharp eye for detail, real law firm experience, and ideally some background in estate planning, we encourage you to apply.
Benefits
Steady Income: A dependable, full-time paycheck for someone used to the inconsistency of contract or freelance signing work.
Meaningful Work: Play an essential, final-checkpoint role in helping families execute their estate plans correctly.
Growth Opportunities: Potential for growth and advancement within the firm.
Benefits for qualified employees include: PTO, Life Insurance, Short-Term and Long-Term Disability insurance.
The role requires you to work on-site at our office (NOT A REMOTE POSITION), Monday through Friday. If you're ready to bring your signing and proofreading experience to a firm where accuracy and client care come first, we encourage you to apply!
Proofing: Proof every deed and estate planning package against the applicable Drafting Guidelines checklist before it is printed for signing. Confirm file numbers, legal addresses, A/K/A lines, page numbers, and required deed language are present and correct. Flag any error to the drafting attorney or paralegal before printing. Never print a package with a known error.
Printing: Print the finalized signing package in the correct order and copy count (client, file, and recording copies).
Signing: Schedule and run client signing appointments, in the office or with a firm-coordinated mobile notary.
Recording: Submit executed deeds for recording promptly.
Office Administration: Greet clients and answer phones (bilingual Spanish/English), coordinate the signing and closing calendar, support attorneys and paralegals with clerical tasks during high-volume periods, and manage office supplies, mail, and other front-office needs.
Experience: Law firm experience preferred; estate planning experience is a plus. Prior contract or freelance signing/notary work for law firms is a strong fit for this role.
Skills: Strong proofreading skills and close attention to detail.
Bilingual: Spanish and English required.
Tech: Comfortable with Google Workspace and Clio; tech-savvy overall.
Attributes: Strong customer service skills for client-facing signing appointments and comfortable in a fast-paced, fully in-office environment.
Compensation
$20 - $25 hourly
