Big Money Retirement Solutions is seeking a polished, highly organized, and people-oriented Executive Assistant to provide direct support to our Founder and Owner, Johnathan Burgess, in our Palm Beach County market.

This is a unique Executive Assistant opportunity for someone who enjoys both working behind the scenes to keep an executive organized and being visible to clients and prospects as a trusted representative of the organization.

During the business day, you will help manage the executive's calendar, coordinate appointments and meetings, organize priorities and follow-up, and assist with executive initiatives that may span multiple departments and Big Money Retirement locations.

You will also be one of the first people clients and guests meet when they visit us. We are looking for someone who naturally creates a warm, professional experience—welcoming guests, helping them get settled, and making sure they feel taken care of before returning to your executive responsibilities.

Approximately two evenings per week, this role will also support the executive at our educational dinner seminars. You will help prepare the venue and presentation equipment, welcome attendees, serve as the event host, provide a brief live introduction of the executive before the presentation, and help interested attendees take the next step toward meeting with our team. Executive Support & Organization

  • Manage and maintain the executive's calendar, appointments, meetings, and scheduling priorities.

  • Coordinate internal and external meetings, including participants, locations, timing, and applicable meeting details.

  • Identify scheduling conflicts and proactively help resolve them.

  • Help protect the executive's time by maintaining an organized and intentional calendar.

  • Prepare relevant information and materials ahead of meetings and appointments.

  • Maintain awareness of outstanding follow-up items and help ensure commitments and next steps are not missed.

  • Assist with correspondence, scheduling, organization, documentation, and other executive administrative needs.

  • Coordinate information and follow-up across departments and Big Money Retirement locations when needed.

  • Assist with executive projects, special initiatives, and process-related assignments.

  • Communicate with team members, Advisors, vendors, business partners, clients, and other stakeholders on behalf of the executive when appropriate.

  • Handle confidential executive, employee, client, and company information with a high level of discretion and professionalism.

Client & Guest Experience

  • Serve as a welcoming first point of contact for clients, prospects, vendors, candidates, and other guests entering the office.

  • Greet arriving clients and guests promptly and professionally.

  • Confirm whom guests are meeting with and notify the appropriate team member of their arrival.

  • Help guests get comfortably seated while they wait for their meeting.

  • Offer coffee, water, snacks, or other available refreshments.

  • Help maintain an organized, professional, and welcoming reception and meeting room environment.

  • Maintain awareness of client-facing areas and communicate any presentation, supply, or facility concerns that need attention.

  • Help create the type of hospitality and personal attention we want every Big Money Retirement client to experience.

Dinner Seminar & Event Support

  • Support approximately two evening dinner seminars per week based on the executive's event schedule.

  • Adjust the workday appropriately on seminar days to accommodate evening event responsibilities. (Start work at 10:00 AM instead of 8:00).

  • Arrive at the restaurant well before attendees to assist with event preparation.

  • Coordinate with restaurant personnel and the Big Money Retirement event team as needed.

  • Set up and test presentation equipment before guests arrive.

  • Test presentations, video, audio, displays, presentation controls, cables, adapters, and other technology.

  • Confirm prospect materials and event resources are properly prepared.

  • Welcome and check in seminar attendees as they arrive.

  • Engage guests in conversation and help create a warm, comfortable environment before the presentation begins.

  • Help make introductions and ensure attendees feel personally welcomed.

  • Deliver a polished, energetic, and professional live introduction of the executive at the beginning of the seminar.

  • Remain attentive throughout the presentation to assist with technology, venue, or attendee needs.

  • Engage attendees following the presentation and identify individuals interested in a one-on-one meeting with Johnathan.

  • Collect accurate contact information from prospective clients who would like additional information or a personal meeting.

  • Assist with appointment scheduling when appropriate.

  • Ensure prospect information and meeting interest are properly handed off for timely follow-up.

  • Assist with event teardown and secure all Firm equipment, materials, and prospect information before leaving the venue.

  • At least 2-3 years of experience as an executive assistant, or experience performing such supportive duties.

  • Is exceptionally organized and able to manage multiple priorities simultaneously.

  • Anticipates needs rather than waiting to be told what to do next.

  • Communicates clearly, professionally, and confidently.

  • Has excellent attention to detail.

  • Is comfortable working directly with a company owner and senior leaders.

  • Demonstrates sound judgment and discretion with confidential information.

  • Is warm, approachable, and naturally hospitable.

  • Is comfortable interacting with clients and prospective clients.

  • Is confident speaking in front of groups.

  • Can deliver a polished introduction in front of a room of seminar attendees.

  • Is comfortable initiating conversations with people they have just met.

  • Can move naturally between focused administrative work and high-touch interpersonal interactions.

  • Remains calm and resourceful when schedules change or unexpected issues arise.

  • Is comfortable learning and troubleshooting basic presentation technology.

  • Takes ownership of responsibilities through completion.

  • Is willing and able to work approximately two evenings per week when dinner seminars are scheduled.

Compensation

$90,000 - $75,000 base + up to $3,750 bonus per quarter
