We are looking for an exceptional Receptionist to join our team.

This is a position for someone who wants to be part of a professional, busy, and service-focused office. The role combines front-desk reception, client service, and day-to-day support for the attorneys and team.

This is a busy job. There will be phones ringing, clients arriving, information to gather, mail and deliveries to manage, and a steady stream of things that need your attention. Priorities can change throughout the day. We need someone who can stay organized, remain calm, and keep moving without becoming overwhelmed.

We also need someone who is self-driven. You will have established responsibilities, systems, and procedures, but you will not have someone standing over you telling you what to do every minute of the day. You need to be able to look around, recognize what needs attention, and take care of it. When you don't know something, ask. When you can figure something out, do so. When you see a problem, help find a solution.

We are fully invested in policies, procedures, and systems because they help us provide consistent, high-quality service to clients. We expect our team members to follow those systems while also using good judgment when something does not fit neatly into a procedure. Being able to think on your feet and make smart decisions is an important part of this job.

How you interact with people matters here. You will speak with clients, prospective clients, family members, coworkers, attorneys, vendors, and the public. Some of the clients we serve and their families are dealing with stressful or difficult circumstances. You need to be able to listen, ask appropriate follow-up questions, communicate clearly, and treat every person with patience, compassion, and respect.

We also expect professionalism. You need to be able to stay focused during the workday, manage distractions, protect confidential information, and give your responsibilities the attention they deserve. Getting something done is important; getting it done correctly is more important.

  • Greet clients, prospective clients, visitors, and vendors and provide a warm, professional first impression.

  • Answer incoming phone calls and ensure information and messages reach the appropriate person.

  • Communicate with clients, prospective clients, family members, vendors, and the public in a professional, courteous, and compassionate manner.

  • Help clients and visitors understand where they need to go and what they need to do next.

  • Follow visitor and building security procedures.

  • Manage incoming and outgoing mail, deliveries, and other items coming into and leaving the office.

  • Assist with scheduling and other administrative coordination.

  • Complete data entry, scanning, copying, filing, and other administrative tasks.

  • Keep the reception area and front office organized and professional.

  • Monitor the front office and respond to what needs attention throughout the day.

  • Provide support to attorneys and other team members as needed.

  • Follow established Firm systems, procedures, and workflows.

  • Learn and effectively use the Firm's technology, databases, and software systems.

  • Track and document work as required.

  • Identify issues and communicate promptly when something needs attention.

  • Take responsibility for assigned work and follow it through to completion.

  • Assist with occasional Firm-related travel or off-site needs when required.

Required

  • High school diploma, GED, or equivalent.

  • Valid driver’s license, current auto insurance, and regular access to a personal vehicle for occasional Firm-related travel or off-site needs that may arise with little advance notice.

  • Notary Public commission, or the ability and willingness to obtain and maintain one.

  • Professional written and verbal communication skills.

  • Strong customer service and interpersonal skills.

  • Proficiency with office systems and tools, including email, word processing, scheduling systems, databases, and other technology.

  • Ability to perform core job responsibilities in a structured, busy, deadline-driven environment with accuracy and consistency.

  • Demonstrated reliability, accountability, and consistent follow-through on assigned responsibilities.

  • Ability to work independently, take initiative, and recognize what needs to be done without constant direction.

  • Ability to work within defined processes and task-based workflows while exercising sound judgment when situations require something outside of the usual process.

  • Ability to manage multiple priorities and interruptions while remaining organized and professional.

  • Ability to maintain confidentiality and appropriately handle attorney-client privileged and other sensitive information.

  • Strong attention to detail and commitment to completing work accurately.

  • Ability to remain calm, professional, and solution-oriented when dealing with stressful or unexpected situations.

  • Ability to work collaboratively as part of a team.

Preferred

  • One or more years of receptionist, customer service, or related professional experience.

  • Experience working in a law office or other professional services environment.

  • Experience with legal case management software or other database-driven systems.

  • Working knowledge of Microsoft Office, WordPerfect, or similar word-processing software.

Compensation

$19 - $22 hourly depending on experience & demonstrated capability
