A well-established and growing corporate and real estate law firm in the Sunny Isles/Aventura area is seeking a Legal Receptionist / Administrative Assistant to join its team, to deliver an exceptional client experience from the very first point of contact. This role is critical to the firm’s daily operations and growth. The receptionist builds relationships with individuals reaching out to the firm for legal guidance—often during stressful or sensitive times—so empathy, professionalism, and attention to detail are essential.
This position provides front-line administrative and client service support to attorneys and staff, helping ensure the firm runs smoothly and efficiently while maintaining the highest professional standards.
Responsibilities
- Answering phones and professionally greeting clients and visitors
- Managing and maintaining client matter calendars
- Calendaring deadlines and sending reminders
- Managing incoming and outgoing mail
- Organizing and maintaining case and business files
- Copying and scanning documents
- Entering billable time into billing software, as needed
- Assisting the accounting/billing department
- Providing general administrative support to the legal team
- Assist with cleaning and maintaining our common areas (kitchen, conference room, waiting area, etc.)
Qualifications
Qualifications & Requirements
- Customer service experience required; legal experience is a plus
- Fluent in Spanish (verbal and written) required
- Portuguese is a plus, but not required
- Punctuality, reliable attendance, and transportation are mandatory
- Ability to manage multiple tasks and cases simultaneously over extended periods
- Strong organizational and time-management skills with the ability to prioritize deadlines
- Ability to work independently and collaboratively within a team
- Comfort working in a fast-paced, deadline-driven environment
- Proficiency with computers and common office applications (Microsoft Word, Outlook, email, calendars, etc.)
- Excellent spelling, grammar, and written communication skills
- Exceptional attention to detail and accuracy—mistakes are costly and unacceptable
- Positive, solutions-oriented mindset with a strong work ethic
- Professional demeanor with no tolerance for drama, gossip, or negativity
- Ability to treat every task and client—regardless of timing—with care and professionalism
- Trustworthiness is essential; background checks will be conducted. Candidates with a history of fraud, theft, embezzlement, or dishonesty will not be considered.
Compensation
$20 - $23/hour
