We're looking for an energetic, organized, and service-focused First Impressions Coordinator to be the welcoming face of our office. This role is perfect for someone who enjoys creating exceptional experiences, thrives in a fast-paced environment, and takes pride in keeping an office running smoothly.
From greeting clients with a warm smile to ensuring our office is organized, stocked, and ready for success, you'll play an essential role in supporting both our clients and our team every day.
This position is much more than a receptionist role. You'll be a key part of creating an outstanding client experience while helping keep our office running efficiently every day. Your work will directly support our agents, leadership team, and clients, making a meaningful impact on our company's success.

Responsibilities
Create an Exceptional Client Experience
- Welcome clients, agents, vendors, and guests as they arrive.
- Determine the purpose of each visit and direct guests to the appropriate team member or conference room.
- Offer beverages and ensure clients feel comfortable while they wait.
- Notify agents when clients arrive for closings, buyer consultations, listing appointments, interviews, and other meetings.
- Coordinate conference room schedules and assist leadership with room assignments.
- Serve as the point person for client pick-ups, including keys, moving supplies, and other office items.
Keep the Office Running Smoothly
- Maintain an organized, clean, and welcoming office environment.
- Organize storage areas, copy rooms, kitchens, office supplies, signage, and shared spaces.
- Refresh conference rooms between meetings.
- Monitor the office for maintenance issues and communicate concerns to leadership.
- Stock client amenities, office supplies, coloring pages, toys, and other hospitality items.
- Distribute incoming mail and packages to the appropriate team members.
Inventory & Supply Management
- Keep office kitchens and copy rooms fully stocked.
- Monitor inventory of office supplies, refreshments, and client materials.
- Assist with monthly inventory counts and organizing incoming deliveries.
- Notify leadership when supplies need to be reordered.
Client Moving Program Support
- Prepare moving boxes and supplies for scheduled client appointments.
- Assist clients with loading moving supplies into their vehicles.
- Help maintain company moving trucks by cleaning, fueling, and reporting maintenance needs.
- Coordinate truck pickups and returns with clients and leadership.
Company Vehicle Coordination
- Fuel company vehicles as needed.
- Coordinate routine maintenance appointments.
- Help manage vehicle scheduling and communication with agents.
Administrative Support
- Keep buyer and seller presentation folders stocked and organized.
- Print and assemble marketing materials as needed.
- Drop off packages at the post office when necessary.
- Assist with additional administrative and office projects as assigned.
Qualifications
- Loves providing outstanding customer service.
- Has exceptional organizational skills and attention to detail.

- Is dependable, punctual, and professional.
- Can comfortably multitask in a fast-paced environment.
- Communicates effectively with clients, vendors, and team members.
- Is comfortable lifting moving boxes and office supplies when needed.
- Has a valid driver's license and reliable transportation.
Compensation
$18 - $22/hour
