Responsibilities

  • Greet and assist clients, visitors, and callers, delivering a professional, welcoming experience while directing inquiries to the appropriate team members.
  • Coordinate all incoming and outgoing mail, courier services, and deliveries, ensuring accurate and timely processing.
  • Prepare, draft, and respond to routine correspondence, administrative requests, and day-to-day communications.
  • Maintain a clean, organized, and professional office environment, including reception areas, boardrooms, kitchens, and shared workspaces.
  • Monitor office equipment, including printers and copiers, replenish supplies as needed, and troubleshoot basic operational issues.
  • Manage office and kitchen inventory, coordinating the ordering, receipt, and distribution of supplies.
  • Prepare and organize materials for meetings, training sessions, presentations, and brokerage initiatives.
  • Support the onboarding and offboarding of sales associates, ensuring a smooth and professional transition experience.
  • Accurately enter, update, and maintain listing and contract information within Real Estate Board systems.
  • Serve as the primary liaison for building maintenance requests, vendor relationships, and meeting room coordination.
  • Provide administrative support to the Office Manager, Managing Brokers, and Brokerage Owners as required.
  • Assist with the creation, formatting, and distribution of internal communications, presentations, and marketing materials.

  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, along with strong computer literacy and confidence learning new technology platforms.

Compensation

$58,000/year
