I run a fast-moving real estate business and need someone who can take tasks off my plate and just get them done.
This is NOT a highly structured role. Things move quickly, priorities change daily, and not every step will be perfectly defined.
If you need detailed instructions for everything or like constant check-ins, this is NOT the right fit.
What I Need:
Someone who watches a Loom and executes
Someone who makes reasonable decisions without waiting for me
Someone who keeps things moving even if everything isn’t 100% clear
Someone who reduces my workload, not adds to it
Core Responsibilities:
Email Management
- Handle ALL incoming emails
- Organize, respond, and only escalate what actually matters
- Goal: I should almost never be checking email
Dispositions & Deal Support
- Find and coordinate with agents for novation deals
- Coordinate seller + agent scheduling
- Send and manage listing documents
- Review listing agreements and offers using ChatGPT (basic checks)
- Help process and organize signed contracts
- Coordinate notarizations (next day after signing)
- Arrange property photos, lockboxes, and rekeying when needed
Transaction Coordination
- Open title with the correct company depending on the state
- Coordinate with title, agents, and parties to keep deals moving
- Track deals from contract to close
Seller Onboarding
- Collect title info, mortgage payoff, disclosures
- Ensure all required docs are gathered quickly
Legal (Basic Support)
- Find attorneys on Upwork when needed
- Assist with preparing memorandums

- Do NOT message me for every small decision
- Make the best reasonable decision and move forward

This Role Is For Someone Who Is:
- Fast
- Resourceful
- Comfortable figuring things out
- Okay with a startup environment (chaotic at times)
This Role Is NOT For Someone Who:
- Needs step-by-step instructions
- prefers rigid structure
- asks constant questions before acting
You will not be successful in this role if you need constant direction or prefer highly structured environments.
This position is remote in Colombia.
Responsibilities
- Manage and respond to all incoming emails; only escalate what matters
- Coordinate with sellers, agents, and title companies to keep deals moving
- Schedule showings, agent walkthroughs, and property-related logistics
- Prepare, send, and organize contracts, listing docs, and transaction files
- Open title with correct companies and track deals from contract to close
- Coordinate notarizations, photos, lockboxes, and property access as needed
- Handle seller onboarding (collect docs, payoffs, disclosures quickly)
Qualifications
- Experience supporting a business owner, real estate team, or fast-paced environment
- Strong ability to work independently without constant direction
- Comfortable making decisions and taking action with incomplete information
- Highly organized but able to move quickly without overthinking
- Clear written English and ability to communicate professionally when needed
- Familiar with basic real estate processes OR able to learn quickly
- Reliable internet, ability to work U.S. hours, and respond in a timely manner
Compensation
$6 - $9/hour
