The Administrative Assistant supports the Beasley Real Estate Group by managing listings, real estate transactions, brokerage documentation, supporting investor clients, and daily office operations. This position requires strong organization, attention to detail, and the ability to keep multiple properties and transactions moving forward simultaneously.

Primary

  • Manage new listings from pre-listing preparation through closing.

  • Prepare and maintain all listing paperwork and required documentation.

  • Coordinate professional photography, inspections, staging, and other listing-related appointments.

  • Order, install, track, and remove property signs and lockboxes.

  • Ensure listing information, photos, disclosures, and documents are complete and accurate.

  • Serve as the Transaction Coordinator for the sales team.

  • Manage transaction timelines, deadlines, documents, and required signatures.

  • Communicate with agents, clients, lenders, attorneys, inspectors, and other parties throughout each transaction.

  • Maintain organized digital transaction files.

  • Review files for brokerage compliance and ensure all required documentation is submitted properly.

  • Assist the sales team with administrative and operational needs.

  • Prepare After Repair Value analyses (ARVs) using comparable property data for owners' partner investment companies.

  • Assist with Comparative Market Analysis (CMA’s) for prospect listings.

  • Print and assemble listing materials, contracts, presentations, packets, and other documents.

  • Monitor and order office, printing, listing, and marketing supplies.

  • Maintain inventory of signs, lockboxes, brochures, folders, and other sales materials.

  • Help create consistent systems and checklists for listings and transactions.

  • Provide general office support to keep daily sales operations organized and efficient.

  • Promote excellent customer service by building rapport with clients, addressing inquiries promptly, and ensuring a positive experience throughout the sales process

  • Take part in employee development programs to strengthen existing skill sets in real estate administration
  • Respond to customer needs with urgency and attentiveness
  • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
  • Notify transaction participants when a deadline is approaching
  • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand

Skills

  • Strong negotiation skills with the ability to close deals effectively while maintaining client satisfaction

  • Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint) for reporting and documentation purposes

  • Experience with sales technology adoption and managing CRM systems supported by technical teams

  • Knowledge of real estate market analysis, industry trends, and current practices in residential real estate transactions

  • Familiarity with real estate law, fair housing regulations, and legal procedures involved in managing real estate offers and transactions

  • Excellent communication skills for client rapport building, client communication, and team collaboration

  • Exceptional organizational skills to manage multiple transactions simultaneously while adhering to deadlines

  • Customer service orientation with a proactive approach to problem-solving and client support

  • Must have a valid Real Estate License
  • Weekend and evening availability
  • Candidates are required to have a high school diploma or GED
  • Great written and verbal skills
  • Background in real estate is required for this position

Compensation

$55,000 - 62,000 yearly
