The Project Coordinator plays a critical role in guiding clients through the pre-construction and home selections process while ensuring projects stay aligned with budget, timelines, and construction requirements.

This position serves as the bridge between clients, Sales, Design, and Construction teams, helping homeowners make informed decisions on finishes, fixtures, and materials while maintaining the integrity of the build. The ideal candidate is highly organized, customer-focused, and possesses a strong understanding of residential construction, building materials, and home plans.

This is not an interior designer role. We are seeking someone who understands how homes are built and can confidently communicate construction concepts to clients while creating an exceptional customer experience.

Client Experience & Selections

  • Serve as the primary point of contact for clients during the onboarding process.

  • Guide clients through interior and exterior selections, helping them balance aesthetics, functionality, budget, and build requirements.

  • Educate clients on construction timelines, processes, and expectations.

  • Ensure clients are prepared for Selections, Design, pricing, and contract milestones.

  • Build excitement and confidence throughout the home-building journey.

Construction Coordination

  • Review floor plans, specifications, scopes of work, and client requests to ensure selections align with construction requirements.

  • Collaborate closely with Sales, Design, and Construction teams to ensure accuracy and timely communication.

  • Identify conflicts or potential issues early and proactively recommend solutions.

  • Maintain a working knowledge of residential construction methods, building materials, fixtures, and finishes.

  • Ensure all selections are accurately documented and communicated to internal teams.

Vendor & Administrative Management

  • Build and maintain strong relationships with vendors and suppliers.

  • Stay informed on product offerings, availability, and pricing.

  • Track client progress and maintain accurate records in Buildertrend and other company systems.

  • Gather required documentation and ensure client files are complete and organized.

  • Manage multiple projects and deadlines simultaneously while maintaining exceptional attention to detail.

  • Communicate with vendors and subcontractors as a point of contact to solicit new jobs
  • Provide administrative support to the office manager, project manager, general contractor, and other construction management staff
  • Respond to incoming emails and phone calls professionally
  • Draw up forms such as purchase orders, change orders, service agreements, and subcontracts
  • Implement clerical and administrative tasks for special projects, and provide general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies as requested

Required

  • 2+ years of experience in residential construction, home building, remodeling, or construction project coordination.

  • Strong understanding of residential construction processes and terminology.

  • Ability to read and interpret floor plans, specifications, and scopes of work.

  • Experience working directly with homeowners or clients.

  • Excellent communication and interpersonal skills.

  • Exceptional organizational skills and attention to detail.

  • Ability to manage multiple clients and projects simultaneously.

  • Proficiency with Google Suite and construction/project management software.

  • High school diploma or GED.

Preferred

  • Experience with Buildertrend.

  • Experience as a Construction Coordinator, Project Coordinator, Selections Coordinator, Warranty Coordinator, Estimator Assistant, or similar role in residential construction.

  • Knowledge of building codes, residential materials, and finish products.

  • Experience in custom home building or production home building.

  • Superb organization and communication skills, as well as great time management, are essential
  • Past administrative experience is necessary (3 years) - administrative duties for a busy construction office is beneficial
  • Possess excellent computer skills, especially MS Office -Word, Excel, and Powerpoint
  • Associate’s or bachelor’s degree is a bonus - high school diploma is required
  • An understanding of the construction industry is preferred, but not required

Compensation

$60,000 - $65,000 plus commission
