Bixler Moore, LLC is hiring an experienced Probate / Estate Planning Paralegal to join our growing estate and elder law team in Canton, Ohio.


This is not a litigation paralegal position. This role is focused on helping families with probate estates, trust administration, estate planning, guardianships, and related elder law matters. You will work closely with attorneys, clients, courts, financial institutions, beneficiaries, and other team members to help move matters forward with accuracy, efficiency, and compassion.


As a Probate / Estate Planning Paralegal, you will play an important role in supporting families through both lifetime planning and post-death administration. The right candidate will be organized, detail-oriented, professional, and comfortable working with clients during major life transitions.

Probate and estate planning experience are strongly preferred, but we will consider candidates with strong law firm experience, excellent organizational skills, and a willingness to learn our systems.

Responsibilities

Responsibilities include, but are not limited to:

  • Prepare probate filings, correspondence, notices, inventories, accounts, and related estate administration documents for attorney review
  • Assist attorneys with probate estates, trust administration, guardianships, and related post-death administration matters
  • Assist with estate planning matters, including preparation and organization of wills, trusts, powers of attorney, health care directives, deeds, and related documents
  • Prepare estate planning binders, signing packets, client letters, and funding-related documents
  • Help coordinate the estate plan execution process, including client signing appointments and post-signing follow-up
  • Gather, organize, and track asset, debt, beneficiary, fiduciary, real estate, and court information
  • Communicate professionally with clients, courts, financial institutions, beneficiaries, care providers, and other parties
  • Track deadlines, hearing dates, filing requirements, signing appointments, and follow-up tasks
  • Maintain organized electronic files and ensure matter information is complete, accurate, and easy to access
  • Prepare documents for attorney review, client signature, filing, recording, and service
  • Assist with fiduciary applications, estate accountings, releases, receipts, distributions, and final administration steps
  • Help clients understand the estate planning and estate administration process while maintaining appropriate attorney-client boundaries
  • Coordinate with attorneys, paralegals, client care team members, and outside professionals to ensure files move efficiently through the firm’s workflow
  • Maintain a large docket of active cases with strong follow-up and deadline management
  • Provide professional, timely, and compassionate communication with clients throughout the process
  • Assist with day-to-day office operations as needed

Qualifications

The ideal candidate will have:

  • Minimum of 3 years of experience in a law firm setting preferred
  • Experience in probate, estate administration, estate planning, trust administration, guardianship, elder law, or Medicaid strongly preferred
  • Experience preparing or organizing estate planning documents, such as wills, trusts, powers of attorney, health care directives, deeds, or related documents, preferred
  • Strong organizational and time-management skills
  • Exceptional attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Strong grammar and drafting ability
  • Ability to manage multiple active files, appointments, and deadlines at the same time
  • Professionalism, discretion, and sound judgment
  • Compassion and patience when working with clients who may be grieving, overwhelmed, aging, or unfamiliar with the legal process
  • Ability to work well with attorneys, staff, clients, courts, and outside professionals
  • Strong computer skills and ability to learn legal software and internal systems
  • Paralegal certificate, associate’s degree, bachelor’s degree, or equivalent law firm experience preferred
  • Advanced paralegal education or certification is a plus, but not required

Compensation

$50,000 - $50,000/year
