Available immediately. Part-Time Front Desk Patient Experience Coordinator at a women's health clinic. We are a wellness clinic focused on providing thoughtful, high-quality care in a calm and supportive environment. Our patients value a smooth, welcoming experience from the moment they walk in.
Schedule: Weekdays, approximately 15–25 hours/week (morning-focused shifts)
Role Overview:
This role is less about “checking people in” and more about creating a warm, organized, and seamless in-clinic experience. You’ll be the in-person anchor for the clinic while our remote team manages phone calls, emails, and billing.
Key Responsibilities
- Guide new patients through arrival and next steps
- Support clinic flow between practitioners and rooms
- Schedule follow-up appointments as needed
- Keep the front desk and shared spaces organized
- Receive and put away deliveries
What This Role Is NOT
- You are not responsible for phones, billing, or insurance
- You are not expected to multitask across multiple systems
Ideal Candidate
- Reliable and consistent with strong attention to detail
- Comfortable in a calm, wellness-focused environment
- Able to take initiative without needing constant direction

Hours:
- Mondays through Friday 9:30 am to 12:30 pm
- Potential additional hours: Mondays through Fridays, 2:00 pm to 4:00 pm
Compensation: Starting at $20 hourly with opportunity for increase

Responsibilities
- Manage online booking and charting systems
- Greet patients warmly, answer calls/emails, and handle payments
- Coordinate appointment scheduling and practitioner calendars
- Maintain office setup, including prepping and cleaning treatment rooms
- Manage phone, data entry, and office supplies
- Support practitioners with patient file updates and room preparation
- Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions
- Make appointments for employees and ensure the calendar is current and correct
- Manage incoming and outgoing mail and handle deliveries

Professional Skills:
- Excellent multitasking and organizational abilities
- Strong communication skills and tech-savvy
- Ability to work independently and collaboratively
- Exhibits working knowledge of Microsoft Office and basic computer skills
- At least one year of receptionist or administrative assistant, experience, or similar preferred
- High school diploma, G.E.D. or equivalent
- Comfortable taking telephone calls and mitigating stressful situations
- Excellent interpersonal skills, organizational skills, customer service skills, and verbal communication skills
Compensation
$20 - $22 hourly
