Harper Law Firm is seeking an experienced, highly organized, and proactive Paralegal Manager to lead and develop our team of personal injury paralegals.
This role is responsible for ensuring exceptional case management, maintaining operational excellence, coaching and developing staff, enforcing firm SOPs, and ensuring every client receives an outstanding experience throughout the life of their case.
The Paralegal Manager serves as the bridge between attorneys, operations, and the paralegal team by driving accountability, performance, consistency, and continuous improvement.
Responsibilities
Team Leadership & Management
- Lead, mentor, coach, and develop all paralegals.
- Conduct weekly one-on-one meetings with each paralegal.
- Perform quarterly performance reviews.
- Monitor workload distribution and staffing levels.
- Assist with hiring, onboarding, and training new paralegals.
- Foster a positive, collaborative, high-performance culture.
- Hold the team accountable to firm Core Values and KPIs.
Case Management Oversight
- Ensure all cases move efficiently through each phase.
- Monitor attorney and paralegal caseloads.
- Review files for quality control and completeness.
- Ensure every file is organized according to firm standards.
- Assist with complex case strategy and workflow issues.
Client Experience
- Ensure every client receives proactive communication
- Ensure communication standards are followed.
- Review client satisfaction metrics.
- Resolve escalated client concerns.
- Work closely with Client Concierge to improve the client experience.
Operations & Process Improvement
- Enforce all SOPs and operational policies.
- Conduct regular file audits.
- Maintain document organization standards.
- Improve workflows and efficiencies.
- Identify bottlenecks and implement solutions.
- Lead change management initiatives.
Training & Development
- Develop and maintain the Paralegal Training Program.
- Conduct onboarding for new hires.
- Train staff on:
- Case Management, Case Phases, Firm SOPs
- Conduct and attend CLE events
KPI Management
- Monitor and report weekly/monthly KPIs
- Present KPI reports during leadership meetings.
Qualifications
Required
- Minimum 5 years of Plaintiff Personal Injury paralegal experience
- Minimum 2 years supervising or leading a legal team
- Strong knowledge of Texas Personal Injury law
- Excellent leadership skills
- Exceptional organizational skills
- Strong written and verbal communication
- Ability to manage multiple priorities
- High attention to detail
- Experience training employees
- Proficiency with Microsoft Office Suite
- Experience with legal case management software (Filevine preferred)
Preferred
- Filevine Administrator experience
- Bachelor's Degree
- Project management experience
- Lean or EOS operational experience
- Experience developing SOPs
Compensation
$85,000/year
