Our office is expanding, and we’re looking for an ophthalmic tech and surgical coordinator to help us provide first-class patient care! The Ophthalmic Surgical Coordinator is responsible for coordinating all aspects of the surgical process for ophthalmology patients, ensuring a seamless experience from surgical scheduling through postoperative follow-up.
This role serves as the primary liaison between patients, surgeons, surgical facilities, insurance providers, and clinical staff while maintaining excellent customer service and compliance with practice policies.

Responsibilities
Schedule ophthalmic surgeries, including cataract, glaucoma, retina, corneal, oculoplastic, and laser procedures.
Coordinate surgery dates with surgeons, ambulatory surgery centers, hospitals, anesthesia providers, and patients.
Obtain and verify insurance benefits, prior authorizations, referrals, and pre-certifications as required.
Educate patients on surgical procedures, pre-operative instructions, postoperative expectations, medications, and financial responsibilities.
Prepare and maintain accurate surgical schedules and patient records within the electronic health record (EHR).
Ensure all required medical documentation, consent forms, diagnostic testing, and medical clearances are completed prior to surgery.
Coordinate preoperative testing, laboratory work, and medical clearances with primary care physicians and specialists.
Communicate changes to surgical schedules promptly with patients, physicians, and surgical facilities.
Collect and document patient payments, surgical deposits, and financing arrangements when applicable.
Serve as the primary point of contact for patient questions regarding surgery scheduling and preparation.
Confirm surgery appointments and provide reminder calls or messages.
Coordinate postoperative appointments and follow-up care.
Collaborate with physicians, technicians, counselors, and front office staff to ensure efficient patient flow.
Monitor surgical schedules for efficiency and maximize operating room utilization.
Maintain confidentiality and comply with HIPAA regulations.
Track surgical outcomes, cancellations, and reschedules for reporting purposes.
Assist with inventory coordination for premium intraocular lenses (IOLs) and other surgical supplies as needed.
Maintain knowledge of payer requirements, ophthalmic procedures, and practice protocols.
Participate in quality improvement initiatives and departmental meetings.
- Talk with the patient about the reason for their visit and record their personal information and medical history to share with healthcare staff
- Assist healthcare staff with examinations by handing the appropriate medical instrument and supplies to the physician, positioning the patient, and helping with other tasks as needed
Qualifications
High school diploma or GED required; associate's degree preferred.
Minimum of 2 years of medical scheduling or ophthalmology experience preferred.
Experience coordinating surgical procedures in an ophthalmology or surgical practice strongly preferred.
Knowledge of ophthalmic terminology, procedures, and insurance authorization processes.
Proficiency with electronic medical records (EMR/EHR) and Microsoft Office.
Excellent organizational, communication, and customer service skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Strong attention to detail and problem-solving abilities.
Preferred Skills
Experience with cataract surgery coordination.
Familiarity with premium lens counseling and surgical financial discussions.
Knowledge of Medicare and commercial insurance requirements.
Ability to work collaboratively with physicians, surgery centers, and multidisciplinary teams.
Compensation
$18 - $22 hourly
