Our law firm is seeking an Operations Manager who can turn leadership direction into consistent execution. This is a hands-on role for a capable, mid-career professional who knows how to bring structure to a small, fast-moving organization without adding unnecessary bureaucracy.

You will serve as the Firm Administrator’s operational partner and primary executor of the firm’s business systems—keeping people accountable, workflows moving, data visible, billing and collections disciplined, and day-to-day operations running reliably.

  • Supervise and support non-attorney staff through clear expectations, regular feedback, one-on-one meetings, scheduling, coverage, and quality review.

  • Keep legal and administrative workflows moving by monitoring calendars, tasks, deadlines, case pipelines, and monthly case-status meetings.

  • Build, maintain, train, and audit the firm’s policies, procedures, checklists, templates, and scripts.

  • Diagnose operational breakdowns and recommend practical solutions involving process, technology, training, or performance management.

  • Oversee timekeeping, billing support, installment payments, accounts receivable follow-up, collections workflows, and non-payment withdrawal coordination.

  • Compile accurate weekly and monthly dashboards covering key operational, financial, client, and case-management metrics.

  • Manage vendors, software systems, office technology, supplies, facilities, records, and approved purchases.

  • Support recruiting, interviewing, offers, onboarding, training, payroll review, and performance-evaluation administration.

  • Lead special projects and software implementations while keeping the firm’s daily operating rhythm on track.

  • Several years of progressive operations, office management, practice management, or project/process management experience—enough to operate independently and exercise sound judgment.

  • Experience working inside a small boutique firm or professional-services business that is actively growing and evolving.

  • Legal-industry experience is strongly preferred; relevant experience in accounting, financial services, medical, dental, consulting, or another deadline-driven client-service environment will also be considered.

  • A bachelor’s degree or an equivalent combination of education and meaningful work experience.

  • Strong command of workflows, documentation, reporting, billing/collections follow-through, and business technology.

  • A direct but respectful management style, excellent written and verbal communication, and the confidence to address missed expectations promptly.

  • Comfort moving between strategic projects and hands-on details. You can improve a process in the morning and follow up on a missed payment, deadline, or time entry that afternoon.

  • Reside within approximately 10-15 miles of Pembroke Pines, or have a reliable commute that supports consistent on-site presence.

  • A Bachelor’s degree is preferred, but a 2-year degree and Paralegal certification are acceptable - High school diploma is required
  • Effective organizational and communication skills, both written and oral, are needed
  • Comfortable with computer programs, such as spreadsheet presentation, word processing, and case management software
  • Be a self-starter and able to effectively manage multiple matters at once

Compensation

$55,000 - $60,000 yearly
