The Hamlin Group is adding an Operations Coordinator to create operational leverage across the business — taking ownership of the administrative, coordination, and follow-through work that currently pulls leadership away from design, sales, and high-value client decisions.
You will work alongside company leadership and the Design & Selections Coordinator, managing the day-to-day operational tasks that keep a luxury residential remodeling firm running. This is a developmental role. You will start by learning our systems, our standards, and how we operate. Over time, as you develop confidence and capability, you will take on more ownership and responsibility. What we are looking for is not someone who has done all of this before — we are looking for someone with a solid foundation, a sharp mind, and the drive to build the rest with our guidance.
We are a small company that operates at a standard most firms twice our size don't reach. That means every person on this team matters, dependability is a requirement, and when you say you have something, you see it through.
Work Environment
On-site — Chamblee, GA office
Monday through Friday, standard business hours
Occasional local errands or permit office visits as needed

The Right Person
We are looking for someone who operates a certain way — not just someone who checks the right boxes on a resume.
You notice what others miss. You finish what you start. You create order out of ambiguity and don't require repeated reminders. You ask good questions, document the answers, and don't need to be taught the same thing twice. When something is off track, you communicate early. When a problem lands in front of you, your instinct is to solve it — not just report it. You can manage multiple workstreams without losing details, and you take pride in the fact that things run better because you are in the room.
Lead Management & Client Communication — Serve as the first point of contact for incoming leads. Field calls and emails, hold initial conversations to understand the project and determine fit, and manage lead information in our project management system. You are the first professional voice a potential client hears.
Invoice & Expense Processing — Manage trade contractor invoice processing, expense coding, and payment tracking with guidance from the project team. You will learn how our project budgets work and grow into running this process independently.
Trade Contractor & Vendor Coordination — Handle outbound communication with trade contractors and vendors — preparing and sending bid requests and work orders, following up on schedules and estimates, placing and tracking material orders, and coordinating the occasional pickup or delivery.
Project Administration — Keep our project management system organized and current — setting up new projects, maintaining project files and records, monitoring daily log submissions, coordinating permit filings, maintaining office supplies, and supporting the team with basic quantity takeoffs when needed.
Technology & AI Operations — Work within AI platforms like Claude and ChatGPT as part of your daily workflow. We have built operational tools and workflows using these platforms, and this role will execute, manage, and help grow them. This is not casual AI use — it is a working part of how we operate.
Leadership & Team Support — Keep leadership on schedule with proactive calendar management. Coordinate with the design team on photography scheduling and warranty follow-ups. When something needs to happen and nobody else is carrying it, you pick it up.
Required
Strong organizational and communication skills — written and verbal
A working familiarity with residential construction — you don't need to build a house, but you shouldn't be starting from scratch on basic terminology and concepts
Comfort with technology and a genuine willingness to work with AI tools as part of daily operations
Detail-oriented with a basic understanding of invoicing, budgets, and payment tracking
Self-directed, dependable, and eager to grow into increasing responsibility
Located in the Atlanta metropolitan area
Preferred — Not Required
Experience in a construction, design-build, or remodeling office environment
Familiarity with construction project management software such as JobTread (our platform), BuilderTrend, or CoConstruct
Experience with accounts payable or expense management
Comfort reading residential floor plans
Prior professional use of AI platforms such as Claude or ChatGPT

$65,000
