This is a hands-on operations and administrative support role. You will help our Chief Operating Officer keep our office space, current and new, running smoothly: managing office logistics, coordinating with IT on tech needs, and building out clear procedures as the firm grows. You will help our Director of Firm Administration with onboarding, recruiting tasks, and other administrative tasks. You won't set firm strategy or own the budget; you'll help execute the plans leadership puts in place, with real input along the way.
We're looking for someone dependable, detail-oriented, and comfortable being the go-to person for whatever the office needs on any given day: someone with a genuine sense of urgency who doesn't let things sit, and who treats a problem as something to solve, not just something to flag and wait on.

Office management & coordination: Keep our current office(s) and any new office openings running smoothly, furnishing new space, keeping supplies stocked, and handling recurring vendors like utilities and insurance
Administrative support: Assist with onboarding, offboarding, and other administrative needs.
Facilities & vendor relationships: Coordinate with building management, cleaners, maintenance, software/tech stack, IT, and other vendors
Tech: Serve as the go-to point of contact for day-to-day tech needs, coordinating with our IT department on device requests, simple troubleshooting, and equipment needs.
Processes: Create and document office procedures as they come up, so institutional knowledge doesn't live in just one person's head
Meetings & calendars: Help schedule and prep for internal meetings and coordinate shared office space.
Mail & supplies: Handle incoming and outgoing mail and packages, and keep office supplies stocked and ordered
Vendor & subscription tracking: Keep track of software licenses, service contracts, and renewal dates so nothing lapses
Recruiting support: Support recruiting efforts when needed, including scheduling interviews and candidate communication
Problem-solving: Flag operational issues or opportunities you notice and bring them to leadership proactively, before they become urgent
Bachelor's degree preferred; equivalent experience will be considered
Prefer 2+ years of professional office, administrative, or operations experience; recent college graduates are also welcome to apply
A real sense of urgency: you follow through and finish without needing to be chased. You don’t sit in an office all day with door closed. You are always looking for what else you can get into.
Sharp problem-solving instincts: you look for the fix, not just the fault
Proficient in MS Office (Excel, Word, etc.)
Tech-savvy, with the ability to learn and adapt to new software quickly (Apple user is a plus)
Comfortable coordinating with vendors, building management, or IT support
Strong written and verbal communication skills
Comfortable following direction and working within established priorities, while speaking up when something needs attention
Reliable, organized, and able to juggle multiple tasks and deadlines
A team player who is glad to work in a supportive, execution-focused role and who brings the hustle to keep up as we grow
Compensation
$24 - $31.25 hourly
