The Office Manager is the operational leader of the assigned office. This individual ensures the location remains organized, professional, fully operational, and ready to serve clients and employees each day.
The ideal candidate takes ownership, solves problems quickly, provides excellent customer service, and can independently manage office operations, vendors, facilities, and administrative responsibilities.
Responsibilities
Open and close the office each business day.
Maintain a clean, organized, professional, and client-ready environment.
Welcome clients and visitors and provide a five-star experience.
Answer and direct incoming calls when needed.
Address client concerns and escalate serious matters appropriately.
Conduct GAS Calls—Great Service Calls—to gather feedback and confirm client satisfaction.
Ensure conference rooms, offices, reception areas, and common spaces remain presentable.
Order office supplies and monitor inventory.
Coordinate maintenance requests, repairs, security concerns, and IT support.
Manage relationships with the property manager and building management.
Coordinate office vendors, including copier, internet, A/C, handyman, cleaning, and security providers.
Schedule vendor services and confirm that work is completed properly.
Review and verify parking charges, where applicable.
Assist with onboarding new employees and preparing their workspaces.
Coordinate office schedules and coverage.
Monitor attendance and report concerns to leadership.
Support attorneys, paralegals, and legal staff with office-related operational needs.
Reinforce company policies, procedures, and professional standards.
Maintain required local tax registrations, business licenses, and office documentation.
Obtain and maintain a Florida Notary Public commission.
Report safety, security, client-service, or operational concerns promptly.
Qualifications
High school diploma or equivalent required.
At least two years of experience in office administration, customer service, hospitality, legal support, or operations.
Strong organizational, communication, and problem-solving skills.
Professional appearance and customer-service approach.
Ability to manage multiple responsibilities with limited supervision.
Strong attention to detail and consistent follow-through.
Ability to handle confidential and sensitive information appropriately.
Proficiency with Microsoft Office, email, calendars, and standard office technology.
Willingness and eligibility to obtain a Florida Notary Public commission.
Reliable transportation and consistent attendance required.
Preferred Qualifications
Previous experience in a law firm or professional-services environment.
Experience coordinating office vendors, facilities, or maintenance services.
Bilingual in English and Spanish.
Current Florida Notary Public commission.

Compensation
$55,000 - $60,000/year
