Reidy Law Office is looking for an Office Manager who can grow into a trusted first-line leader across office operations, billing oversight, people administration, technology support, and process improvement. This is a full-time, in-office role in Orland Park, Illinois, for someone who is organized, technologically confident, coachable, and comfortable taking ownership without needing constant reminders.
The Office Manager helps ensure the Firm's administrative operations run consistently and efficiently. The role oversees the billing function while a Billing Assistant performs much of the recurring billing work; supervises designated administrative team members; coordinates office, personnel, recruiting, and onboarding administration; provides first-line help with routine technology issues; and helps document and improve Firm systems and procedures.
This is a growth-oriented management role. We do not require someone who has already held a senior management title. We care more about evidence that you learn quickly, use technology confidently, follow through, respect systems, communicate well, and have the judgment and potential to grow into broader leadership responsibility.
Oversee day-to-day office operations, facilities, vendors, supplies, recurring compliance items, and administrative follow-through.
Oversee billing operations, including billing-cycle completion, accounts receivable, retainer replenishment, payment-plan compliance, and billing issues requiring management attention.
Supervise and support designated administrative team members, including the Billing Assistant, Front Desk, and Receptionist; review KPIs, conduct check-ins, coach on established procedures, and follow up on missed expectations.
Coordinate personnel administration, attendance/PTO records, the Firm administrative calendar, recruiting support, onboarding logistics, personnel files, and assigned offboarding tasks.
Develop strong working knowledge of the Firm's major software and systems, help team members solve routine technology problems, and coordinate with outside IT/software support when needed.
Follow, document, and improve Firm procedures; help reduce single points of failure through clear PSPs, checklists, cross-training, and appropriate use of technology, automation, and AI.
Coordinate weekly bank deposits, office financial records, Firm events, and special administrative or operational projects assigned by the Owner.
Monitor billing and office performance, promptly identify problems, and escalate matters requiring Owner attention.
Maintain a minimum Firm collection rate of 90%, with a target of 94% or better, by ensuring appropriate billing and collection processes are consistently followed.
Strong technology aptitude and the ability to learn new software, settings, workflows, and tools quickly.
Excellent organization, follow-through, documentation, and attention to detail.
Comfort working from written procedures, checklists, scripts, KPIs, and deadlines.
Professional communication and the ability to remain calm and constructive during difficult conversations.
Ability to give and receive feedback, coach others, and grow into first-line leadership.
Good judgment about what to solve independently, what to verify, and what to escalate.
Comfort discussing billing, payments, and collections professionally with clients and team members.
Experience in office operations, billing/accounts receivable/collections, HR administration, professional services, or a related environment is preferred.
Approximately 2+ years of relevant experience is preferred, but strong high-upside candidates with less direct experience may be considered.
Prior law-firm experience and formal supervisory experience are helpful but not required.
Must be able and willing to work full-time in the Orland Park office.
Compensation
$60,000 - $75,000 yearly DOE
