Precision Flow Plumbing is a growing, locally owned plumbing company serving Southern Arizona. We're looking for an experienced, highly organized Office Manager who can take ownership of our day-to-day office operations and help keep our team, customers, and workflows running smoothly.

This is not a receptionist or entry-level administrative position.

We're looking for someone who sees what needs to be done and handles it. The right person will be comfortable making decisions, holding people accountable to established processes, solving problems, communicating with customers and technicians, and ensuring important details don't fall through the cracks.

Our owners are heavily involved in the business today, and one of the primary goals of this position is to take meaningful operational responsibility off their plates.

  • Has previous office management, operations, service management, or comparable leadership experience

  • Is exceptionally organized and detail-oriented

  • Can prioritize without needing constant direction

  • Is comfortable holding coworkers accountable to established procedures

  • Communicates professionally and confidently with customers

  • Can handle difficult conversations without becoming flustered

  • Is comfortable working in a fast-moving environment where priorities occasionally change

  • Understands the difference between an issue they should solve and an issue ownership genuinely needs to handle

  • Notices unfinished work and follows it through to completion

  • Is comfortable learning and using multiple software platforms

  • Has strong written communication skills

  • Can maintain confidentiality when handling employee, customer, and company information

  • Is dependable, resourceful, and comfortable taking responsibility for results

What You'll Own

Office Operations

  • Manage the day-to-day administrative operations of the company

  • Monitor company email, phones, texts, and internal communications

  • Maintain organized digital and physical company records

  • Ensure established office procedures are consistently followed

  • Identify gaps or inefficiencies and help develop better processes

  • Maintain company forms, documentation, and internal systems

  • Keep ownership informed of issues that actually require their attention without escalating routine problems unnecessarily

Scheduling & Customer Experience

  • Oversee scheduling and dispatch coordination

  • Communicate professionally with customers regarding appointments, scheduling, estimates, invoices, and follow-up

  • Monitor the schedule throughout the day and help resolve scheduling conflicts

  • Follow up on outstanding estimates and unsold work

  • Ensure customers receive reports, estimates, invoices, and other promised documentation

  • Handle routine customer concerns and escalate significant issues when appropriate

  • Help maintain a consistently high standard of customer service

Job & Technician Accountability

  • Review jobs for proper completion and closeout

  • Verify required notes, photos, forms, signatures, and documentation have been submitted

  • Follow up directly with team members when information is missing

  • Monitor compliance with established company procedures

  • Help ensure technicians and staff complete required administrative responsibilities without ownership having to chase them

Billing & Administrative Financial Support

  • Prepare and send invoices

  • Monitor outstanding balances and assist with accounts receivable follow-up

  • Track deposits and customer payments

  • Maintain accurate supporting documentation for purchases and expenses

  • Coordinate receipts, purchase documentation, and vendor paperwork

  • Work with ownership/bookkeeping/payroll providers as needed

Employees & HR Administration

  • Coordinate onboarding paperwork for new employees

  • Maintain employee personnel records

  • Track PTO, call-outs, attendance documentation, and required forms

  • Assist with timekeeping and payroll preparation

  • Maintain training and policy acknowledgment records

  • Help administer company policies and established procedures

  • Document employee-related issues for ownership when appropriate

Vehicles, Equipment & Company Assets

  • Maintain vehicle, equipment, and company asset records

  • Monitor required vehicle/equipment inspection and checklist completion

  • Track maintenance, registration, documentation, and recurring administrative requirements

  • Help ensure company property is properly documented and accounted for

Marketing & Reputation Support

  • Coordinate review requests and customer follow-up

  • Assist with basic social media, Canva, and marketing projects as needed

  • Help maintain consistent company branding and communication

  • Experience with Jobber, QuickBooks, Google Workspace, Canva, payroll systems, or home-service/trade businesses is a plus but not required.

  • Experience in plumbing, HVAC, electrical, restoration, construction, property management, or another service-based business is highly desirable.

  • 2+ years of management experience strongly preferred
  • Basic computer skills including experience with Microsoft Office
  • Must have graduated high school, received a G.E.D. or equivalent
  • Must possess exemplary problem-solving, communication, and time management skills

Compensation

$62,500 - $72,500 yearly
