Office Manager / Bookkeeper

Pay Range: $55,000–$65,000 per year
About the Role
Mulch Solutions is looking for an organized, dependable Office Manager / Bookkeeper who takes ownership and keeps things moving.
This is a hands-on role that blends bookkeeping, payroll, HR support, production record review, and fleet paperwork. We need someone who is comfortable working with numbers, holding people accountable for missing information, and following through without constant reminders.
This position reports directly to the General Manager and ownership, providing timely updates on financial records, payroll, production reporting, and outstanding issues that need attention.
You’ll work closely with management, drivers, and crews to keep our records accurate, our paperwork current, and our office running smoothly.
Responsibilities
Bookkeeping and Financial Records
Review information moving between systems and resolve missing or incorrect entries.
Keep financial records organized and ready for management and accounting review.
Driver and Production Records
Follow up with drivers and crews to get corrections completed promptly.
Provide management with reliable information on completed work and production.
Fleet Paperwork and Office Management
Maintain a clear calendar of deadlines so truck paperwork stays current.
Coordinate with management and drivers to collect required documentation.

Manage daily bookkeeping in QuickBooks Online, Bill.com, and SingleOps, keeping records accurate and current.
Reconcile bank and credit card accounts, investigate discrepancies, and resolve errors.
Process vendor bills, track payments, and monitor accounts payable and accounts receivable.
Review employee hours and prepare and process payroll accurately and on time.
Maintain confidential employee records, coordinate new-hire paperwork, and support onboarding and routine HR needs.
Review daily driver sheets for accuracy and verify yardage installed against job records in SingleOps.
Follow up with drivers and crews to correct missing paperwork and inaccurate entries.
Track truck registrations, inspections, state-required renewals, and related deadlines.
Keep office records organized and improve processes to help daily operations run smoothly.
Report directly to the General Manager and ownership, providing timely updates on financial records, payroll, production, and outstanding issues.
Take ownership of deadlines, communicate clearly, and follow through until problems are resolved.
What We’re Looking For
Previous experience in bookkeeping, office management, or a similar role with a blend of financial and administrative responsibilities.
Strong working knowledge of QuickBooks Online, including bank and credit card reconciliation, accounts payable, and accounts receivable.
Experience preparing and processing payroll accurately and on time.
Experience with Bill.com and SingleOps preferred.
Familiarity with employee records, new-hire paperwork, onboarding, and routine HR support.
Ability to review driver sheets, verify installed yardage, and identify missing or inaccurate information.
Ability to track truck registrations, inspections, renewals, and related deadlines.
Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
Confidence to take charge, follow up with employees, and hold others accountable while remaining professional and respectful.
Ability to work independently, solve problems, and follow through without constant supervision.
Clear communication skills and comfort reporting directly to the General Manager and ownership.
Good judgment when handling confidential financial and employee information.
Comfortable using spreadsheets and learning new software.
Experience in landscaping, construction, trucking, or another field-service business is a plus.
Compensation
$60,000
