Position Summary

We are seeking a highly organized, detail-oriented, and proactive Office Manager/HR Coordinator to oversee daily office operations, including management of contracts, firm branding, and support for human resources functions. This position serves as a central point of contact for administrative, client service, office management, employee relations, and HR compliance activities. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and the capacity to manage multiple priorities in a fast-paced professional environment.

Client File Management

  • Prepare completed client files for delivery or pickup.

  • Draft and prepare client cover letters and correspondence.

  • Coordinate file pickup and delivery processes.

  • Obtain and document client confirmation of receipt or pickup.

  • Maintain accurate records of completed file transfers.

Marketing & Content Creation

  • Create visual content for company websites, social media platforms, email campaigns, and marketing materials.

  • Design banners, graphics, advertisements, promotional materials, and social media posts.

  • Maintain brand consistency across all digital and print communications.

  • Assist with website updates and content management.

  • Create engaging marketing content to support business development and client outreach initiatives.

  • Must be proficient in Canva and/or similar graphic design and content creation platforms such as Adobe Creative Suite, Canva, or other digital design tools.

  • Experience creating content for Facebook, Instagram, LinkedIn, and other social media platforms preferred.

Contract & Compliance Management

  • Manage company contracts, agreements, and vendor documentation.

  • Track contract renewal dates, deadlines, and compliance requirements.

  • Maintain organized contract records and reporting systems.

Human Resources Administration

  • Manage employee timecards and attendance records.

  • Track overtime (OT) and maintain employee performance and policy compliance notes.

  • Monitor adherence to company policies and procedures.

  • Conduct employee counseling regarding attendance, performance, and policy violations.

  • Maintain confidential employee files and documentation.

  • Assist with HR compliance and recordkeeping requirements.

New Hire Onboarding

  • Prepare and distribute new hire onboarding packages.

  • Verify and process I-9 documentation and employment eligibility records.

  • Assist with employee onboarding and orientation activities.

  • Set up user accounts and profiles for:

    • Clio

    • Microsoft Office

    • Microsoft Teams

    • Outlook

    • RingCentral

  • Coordinate equipment and system access for new employees.

Office Administration

  • Answer incoming phone calls and direct inquiries professionally.

  • Maintain accurate call logs and client communications within Clio.

  • Manage calendars, schedule appointments, and coordinate meetings.

  • Book and coordinate business travel arrangements.

  • Coordinate with vendors, service providers, and office suppliers.

  • Manage office maintenance needs and ensure efficient office operations.

  • Organize, maintain, and oversee office file storage systems, both physical and electronic.

Required Education & Experience

  • Bachelor's Degree from an accredited college or university.

  • Minimum of one (1) year of Human Resources experience.

  • Experience in office administration, administrative support, or office management preferred.

Knowledge, Skills, and Abilities

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication abilities.

  • Professional customer service and interpersonal skills.

  • Ability to maintain confidentiality and handle sensitive information.

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.

  • Experience using Clio or similar case management software preferred.

  • Experience with RingCentral or similar business phone systems preferred.

  • Graphic design and content creation experience preferred.

  • Strong attention to detail and deadline management skills.

  • Ability to work independently and collaboratively within a team environment.

Compensation

$72,800 yearly
