We're a personal injury law firm handling around 200 active cases with a small, tight team nationwide. We don't advertise; we have no billboards. Every case comes from a referral, which means the work that keeps the office running has to be done right the first time.
We're looking for a Legal Administrative Assistant to own the day-to-day administrative operation of the office. This is not a phone-answering job. You'll be the person who makes sure mail goes out, checks get logged, files stay clean, and nothing sits on someone's desk for three days. If you like a clear system and hate loose ends and meaningless work, you'll love it here.
What we offer
$40,000 – $50,000/year based on experience

What you'll do
Process all incoming mail - open, date-stamp, scan, log, and route to the right case file and team member the same day it arrives
Prepare and send outgoing mail, FedEx, and certified mailings; maintain proof-of-mailing records
Log and process incoming settlement checks, medical records invoices, and other payments; prepare deposits and maintain the receipts log
Prepare client disbursement statements for attorney review and signature
Maintain electronic case files in our case management system that is accurate, current, and named consistently
Open new files and close out resolved ones, including final file assembly and closing letters
Manage office supplies, vendors, and general office upkeep
Answer and route phone calls; greet the occasional in-office client
Calendar deadlines, appointments, and follow-up tasks
- Grow in the position through continued learning and revitalization of skillsets in related duties
- Plan office events and schedule arrangements for travel if necessary
- Order office equipment and supplies as needed
- Connect with our customer base and raise brand visibility by coordinating community events
- Act as a point of contact for complaints or questions from customers and respond in a timely manner
What we're looking for
2+ years in an administrative role; law firm or medical office experience strongly preferred
Bilingual English/Spanish
Comfortable handling money-related paperwork with precision — deposits, ledgers, statements. You will double-check numbers, and you'll be expected to catch it when something doesn't tie out
Strong written English; you'll be drafting letters that go to clients and insurance carriers
Proficient with Microsoft Office, Adobe, and Google Workspace; able to learn a case management system quickly
Organized to the point of being a little particular about it
Discreet. You'll see client medical records and financial information daily, and confidentiality is absolute
Reliable in-office attendance — mail and checks don't get handled remotely
Must pass a background check
Nice to have
Personal injury experience specifically — you know what a lien is, what an LOP is, what a demand package looks like
Experience with medical records retrieval portals
Notary commission (or willingness to get one — we'll pay for it)
- Shows ability to quickly finish very detailed work
- High school diploma or GED required
- Customer service experience in our industry is preferred
- Display excellent written, problem-solving, and verbal communication skills
- Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
Compensation
$35,000 - $45,000
