About the Role

KW Catalyst is a growing network of Keller Williams offices across the Mid-Atlantic, helping real estate entrepreneurs grow their business and expand their impact. Our Towson office needs an Office Administrator to be the heartbeat of that experience — the person who creates a welcoming, organized environment and makes sure agents and guests feel taken care of the moment they walk in.

This role does not include bookkeeping, commission processing, or transaction compliance, as those responsibilities are managed by our centralized Catalyst teams. However, basic financial literacy is required, including comfort with recording incoming checks, managing receipts, and processing simple vendor invoices. Your primary focus will be supporting people, facilitating communication, and ensuring smooth day-to-day office operations.

This role offers direct exposure to premier listings, complex transactions, and a high-performance real estate environment in the Washington, DC metro area. The right candidate will have the opportunity to grow into expanded sales or operational leadership as the team grows.

What You'll Do

Office Experience

  • Serve as the primary front desk presence, answering and directing incoming phone calls while providing a professional and welcoming first point of contact for agents, candidates, guests, and vendors.

  • Keep the office organized, stocked, and running at a high standard daily

  • Manage vendors, supplies, facilities, and conference room scheduling

  • Anticipate needs and solve problems before they become disruptions

Agent Onboarding & Support

  • Guide new/transferring agents through signing, license activation, and orientation

  • Coordinate onboarding, training, and coaching touchpoints

  • Be the go-to resource for agent questions — resolve most yourself, escalate the rest

  • Run 30/60/90-day check-ins to make sure new agents are thriving

Communication & Culture

  • Keep agents informed on trainings, events, and updates

  • Support recognition, celebrations, and culture-building events

  • Coordinate calendars and priorities with the Team Leader

  • Connect the Towson office to the broader KW Catalyst network

Continuous Improvement

  • Use technology and AI tools to simplify and speed up admin work

  • Spot repetitive tasks worth automating or streamlining

  • Build simple systems and checklists that keep the office running smoothly

Preferred Experience

  • 2+ years in office management, executive/administrative support, hospitality, or client-facing coordination

  • Experience supporting a fast-paced team or leader

  • Real estate/brokerage experience is a plus, but not required

Compensation

$45,000 - $50,000
