About the Role

This position is dedicated exclusively to our personal injury practice. As Medical Records Coordinator, you will be the point person who makes sure injured clients are getting the medical care they need, keeps their treatment records organized and complete, and helps resolve medical liens so that clients keep more of their recovery. Because we prepare every case for trial, complete and well-organized medical records are essential — and this role is central to that effort.

Position Summary

The Medical Records Coordinator supports our personal injury clients from treatment through settlement. You will stay in regular contact with clients to ensure they attend and complete their medical treatment, request and track medical records and bills from providers, and coordinate the negotiation and resolution of medical liens and balances. This is a client-facing, detail-driven role ideal for someone organized, compassionate, and comfortable communicating with clients, doctors' offices, and insurers.

Responsibilities

  • Treatment monitoring — Stay in regular contact with clients to confirm they are attending medical appointments, following through on recommended treatment, and reporting new or ongoing symptoms; identify and address gaps in treatment early.

  • Provider coordination — Communicate with medical providers, hospitals, imaging centers, and therapists to schedule care, obtain status updates, and keep treatment on track.

  • Records & billing retrieval — Request, follow up on, and track medical records, bills, and affidavits from all treating providers; ensure files are complete and up to date for demand and settlement.

  • Records organization — Maintain organized, accurate electronic records and billing summaries in the firm's case-management system (Filevine), and prepare records for attorney review and demand packages.

  • Lien resolution — Identify medical liens, health-insurance subrogation claims, and provider balances; request lien and balance figures, negotiate reductions where appropriate, and coordinate final lien payoffs at settlement.

  • Client support — Serve as a compassionate, responsive point of contact for injured clients, answering treatment-related questions and keeping them informed throughout their case.

  • Team collaboration — Keep attorneys and case managers updated on treatment status, records received, and outstanding liens; flag issues that could affect case value or timing.

Qualifications

  • High school diploma or equivalent required; associate's degree, medical office, or paralegal coursework is a plus.

  • Strong organizational skills and attention to detail — accuracy with records, bills, and lien figures is essential.

  • Excellent interpersonal and communication skills, with a patient, empathetic manner when working with injured clients.

  • Ability to manage many cases and deadlines at once and follow through persistently with providers.

  • Proficiency with computers and standard office software (Microsoft Office, Outlook, PDF tools).

  • Dependable, punctual, and able to work full-time, on-site in our Plano office.

Preferred (Not Required)

  • Prior experience in a personal injury law firm, medical office, billing, or insurance environment.

  • Familiarity with medical records requests, medical billing, liens, or health-insurance subrogation.

  • Familiarity with Filevine or similar case-management software.

  • Bilingual (English/Spanish) a plus.

Compensation

$45,000
