Materials Coordinator - Receiving, Kitting & Staging

The Materials Coordinator is responsible for supporting manufacturing operations through the accurate picking, kitting, staging, and movement of materials required for production. This position plays a critical role in ensuring production teams have the correct materials, in the proper quantities, at the right time to maintain manufacturing schedules and minimize downtime.

The Materials Coordinator works closely with Production, Purchasing, Receiving, and Inventory personnel to maintain an organized and efficient material flow throughout the facility. Additional responsibilities include assisting with inventory transactions, material transfers, cycle counts, and maintaining accurate inventory locations.

Material Picking, Kitting & Staging (Primary Responsibility)

• Review production schedules, work orders, bills of materials (BOMs), and pick lists to identify material requirements.

• Accurately pick materials from designated inventory locations according to production work orders.

• Assemble and organize material kits containing the components required for manufacturing and assembly operations.

• Verify part numbers, descriptions, quantities, and material conditions before completing kits.

• Stage completed kits and materials in designated production areas to support scheduled manufacturing activities.

• Coordinate with Production and Logistics personnel to prioritize material picking and staging based on production requirements.

• Identify and communicate material shortages, discrepancies, or damaged components that could impact production schedules.

• Ensure materials are properly labeled, identified, and organized to prevent mix-ups and unnecessary handling.

• Support expedited material requests and changing production priorities as needed.

• Maintain clean, safe, and organized picking, kitting, and staging areas.

Inventory Movement & Material Handling

• Assist with the physical movement of materials between receiving, inventory storage, staging, and production areas.

• Support inventory transfers and material transactions within the company's ERP system (SyteLine).

• Ensure materials are placed in their designated inventory locations and properly identified.

• Assist with returning unused or excess production materials to appropriate inventory locations.

• Support the movement and organization of large, heavy, or specialized manufacturing components using approved material-handling equipment.

• Communicate discrepancies between physical inventory and system records to the appropriate personnel.

• Follow established procedures for material handling, storage, and inventory control.

Inventory Accuracy & Cycle Count Support

• Assist with scheduled and periodic inventory cycle counts.

• Perform physical counts of assigned materials and verify quantities against inventory records.

• Identify and report inventory discrepancies, incorrect locations, or missing materials.

• Assist with researching inventory variances and identifying potential causes.

• Support inventory location maintenance and warehouse organization.

• Help improve inventory accuracy through proper material identification, handling, and transaction procedures.

• Participate in inventory improvement initiatives and periodic physical inventories.

Required Qualifications

• High school diploma or equivalent.

• 1–3 years of experience in materials handling, warehouse operations, inventory control, or manufacturing logistics preferred.

• Experience picking materials, assembling production kits, or staging components for manufacturing preferred.

• Ability to read and interpret work orders, pick lists, part numbers, and bills of materials.

• Basic computer skills and familiarity with ERP or inventory management systems.

• Experience with Infor SyteLine or a similar manufacturing ERP system is a plus.

• Strong attention to detail and ability to maintain accurate material quantities.

• Ability to operate forklifts, pallet jacks, or other material-handling equipment, with appropriate training and authorization.

• Ability to work independently while coordinating effectively with other departments.
