We're looking for someone who can run the operational engine behind a fast-growing mortgage team — lead intake, calendars, inbox — while also helping build our brand online. This role is roughly 80% client experience and operations, 20% content and social media, with real room to grow. As our team scales, top performers in this seat have a clear path into a full-time Brand & Content role.
Responsibilities
Core Responsibilities (80% of role)
Client Experience & Lead Management
- Contact all new leads within 4 hours; maintain 80%+ lead-to-consultation and 60%+ lead-to-application ratios
- Set and confirm all appointments for the team (24+ hours in advance)
- Manage the Loan Officer's email inbox (Delete/Defer/Do/Delegate)
- Answer 90%+ of incoming calls for the team
- Own day-to-day management of our Go High Level CRM
Tech & Systems
- Build and maintain workflows, forms, and funnels in GoHighLevel
- Support HousingLink and webinar/ManyChat setup
- Be the go-to person for rolling out and troubleshooting new tools
Content & Brand (20% of role)
- Create captions and basic graphics for Instagram, TikTok, Facebook, LinkedIn, and YouTube
- Post directly to each platform (not through third-party schedulers)
- Repurpose long-form content (webinars, videos) into shorter platform-native posts
- Monitor comments/DMs and route engaged leads into the CRM
What We're Looking For
- Strong organization and time management — nothing falls through the cracks
- A genuine content creator: comfortable writing captions and posting natively on each platform
- Fast learner on new software (GHL experience a major plus)
- Someone who can toggle between "urgent operational task" and "creative work" without either one suffering
- Ambition to grow — this role has a defined path to a full-time content/brand position as our team expands
Growth Path
This role is designed to grow. As The Legendary Team scales and lead intake needs are covered by additional team members, this position can evolve into a dedicated Brand & Content role — for the right person who proves it in this seat first.
What Success Looks Like in 90 Days
- CRM and lead intake are running with zero drops
- Team calendars are fully owned and confirmed
- Consistent, direct-to-platform posting live on at least 2-3 platforms within the 20% allocation
- No measurable slip in lead response time or appointment confirmation rate
Trial/Portfolio Ask: Include 2-3 sample captions or a short video concept with your application.
Qualifications
- 1+ years of experience in an administrative, executive assistant, or client-facing coordination role (mortgage or real estate experience a plus, not required)
- Highly organized with strong attention to detail — nothing falls through the cracks
- Outgoing and personable, with a genuine love for talking to people and building relationships
- Creative self-starter with demonstrated experience creating and posting content on social platforms (Instagram, TikTok, Facebook, LinkedIn, or YouTube)
- Working knowledge of CRM platforms; GoHighLevel experience strongly preferred
- Strong written and verbal communication skills, with the ability to represent the brand professionally across email, phone, and social media
- Comfortable learning new software and tools quickly with minimal hand-holding
Compensation
$60,000 - $60,000/year
