Big Money Retirement • Charlotte, NC

The Marketing Assistant is responsible for the day-to-day marketing, event, administrative, and client-experience readiness of an assigned BIG Money Retirement market and location. While the Events Coordinator maintains firm-wide event readiness and operational consistency across multiple markets, the Marketing Assistant is directly accountable for ensuring those standards are successfully executed within a specific market and location.

This is not a passive administrative role. The Marketing Assistant owns the details that make an office and its local seminar operation run smoothly — from maintaining inventory and preparing materials to greeting every client who walks through the door and actively working every assigned dinner seminar from setup through teardown.

The Marketing Assistant is the entry-level position within BIG Money Retirement's Events Team. The standard is simple: My Location. My Readiness. My Responsibility. Whether a prospect walks in for the first time or attends a BIG Money Retirement dinner seminar in that market, the experience should feel organized, professional, welcoming, and intentionally prepared.

LOCATION SEMINAR INVENTORY & EVENT READINESS

  • Maintain accurate local inventory of all seminar materials, prospect packets, seminar booklets, booking resources, event totes, technology equipment, client touchpoints, and reusable supplies within the assigned office — monitoring levels continuously and following the established cycle: Monitor → Reorder → Confirm Delivery → Stock → Prepare. Inventory is not restocked reactively after an event reveals a shortage. It is managed proactively so no shortage is possible.

  • Coordinate all replenishment needs with the Events Coordinator before shortages develop — communicating inventory levels, projected event needs, and lead time requirements clearly and early enough for orders to arrive before they are needed. The Events Coordinator should never learn that a location is short on materials at the seminar.

  • Complete a documented pre-event readiness check before every assigned dinner seminar — confirming that materials, equipment, venue requirements, and personnel assignments are fully prepared before the team leaves the office. The standard is ready before departure, not problem-solving at the venue. A readiness check completed at the venue is not a readiness check.

  • Proactively identify inventory shortages, equipment issues, printing problems, late deliveries, or any other concern that could affect event execution — resolve them where possible and escalate to the Events Manager early enough for leadership to intervene. The Events Manager should never learn about a preventable problem for the first time at the seminar.

  • Maintain the inventory tracking record for the assigned location as a current, accurate document — updated after every event to reflect consumption, confirmed deliveries, and projected needs for upcoming events. This record exists so anyone can assess the location's readiness at any moment without having to ask.

LOCATION ADMINISTRATIVE & OFFICE OPERATIONS

  • Maintain the assigned Big Money Retirement office in a client-ready, professionally presented, and fully supplied state every business day — including lobby presentation, conference rooms, client-facing areas, marketing displays, printed collateral, and refreshment supplies for any client, any Advisor, any leadership visit, at any moment of the business day.

  • Proactively identify anything in the office environment that is not at standard — a display that needs updating, a supply that is running low, a conference room that has not been reset, a lobby that does not reflect the firm's brand — and address it rather than waiting to be directed.

  • Prepare all required prospect and client materials within the assigned location — including first-appointment packets, seminar follow-up materials, prospect folders, and Advisor meeting resources — ensuring all assembled materials are complete, correctly printed, professionally presented, and available on time. A first-appointment packet with a missing page or a misaligned insert is not a small detail. It is the firm's first impression in physical form.

  • Personally greet every client and prospect who enters the assigned office — confirming who they are meeting, notifying the appropriate Advisor or team member promptly, offering appropriate refreshments, and ensuring every guest is seen, welcomed, and knows what happens next. No client or prospect should enter the office and wonder whether anyone noticed them. Every arrival is an experience. The Marketing Assistant owns it.

  • Manage all location-level administrative tasks assigned by the Events Manager — including scheduling support, correspondence, supply ordering, vendor coordination, and any other operational function required to keep the location running smoothly. Administrative work is not background work. When it is done well, nothing falls through the cracks.

SEMINAR EXECUTION & ACTIVE EVENT PARTICIPATION

  • Attend all assigned dinner seminars on the established seminar-day schedule — using the first portion of the shift to complete administrative and event-preparation responsibilities before transitioning to the venue, and remaining through the full completion of all teardown and close-out responsibilities. Seminar-day is not a split responsibility. It is a full commitment from preparation through close.

  • Contribute actively to every seminar from arrival through teardown: lead or assist with full venue setup, greet every arriving guest by name, help create a warm and comfortable atmosphere before the Advisor presents, and work the room during appropriate portions of the evening to support the CES team and build prospect engagement. Active means visible, engaged, and contributing — not standing near the door waiting to be needed.

  • Assist with booking activity and prospect information capture throughout the event — supporting the CES team in collecting Gold Sheets, confirming appointment details, and ensuring no prospect leaves the event without a defined next step and a personal interaction with a team member.

  • Execute a complete teardown: thanking departing guests personally, collecting and securing all prospect materials, confirming that nothing with prospect information is left behind, and noting all inventory consumed during the event for immediate replenishment planning.

  • Execute a complete morning-after close-out following each event: confirm all event materials are returned and organized, review and replenish consumed inventory before the next event cycle, complete or confirm all applicable Salesforce data entry within 24 hours of the event, and ensure the location is fully prepared for the next seminar cycle before the close-out is considered complete. The morning-after is not cleanup — it is the first step in the next event.

BRAND, COMPLIANCE & PROFESSIONAL STANDARDS

  • Represent Big Money Retirement as the first visible presence many people encounter — in the office, at events, and in every interaction. The Marketing Assistant's appearance, communication, and conduct set the tone before the Advisor speaks. That responsibility is not incidental to the role. It is central to it.

  • Adhere strictly to all compliance guidelines relevant to the Marketing Assistant role. No financial advice, product recommendations, return projections, guarantees, or compliance-sensitive statements are to be communicated to clients or prospects outside of a licensed Advisor's role. When uncertain, do not say it — escalate to the Events Manager immediately.

  • Uphold Big Money Retirement brand standards across every prospect and client touchpoint within the assigned location — from the condition of the office to the presentation of materials to the warmth of the greeting at the door. Every element of the experience in this market reflects the firm's identity as a premier retirement planning firm. The Marketing Assistant owns every element of that experience within their location.

  • 1-3 years of relevant experience.

  • Event management experience or ability to strategize and execute events.

  • Flexibility to work 1-2 nights per week with a flexible schedule.

  • Social media and digital marketing experience.

  • Public speaking experience or willingness to do so.
