  • Front Desk & First Impressions: Warmly greet office visitors with a professional presence, handle incoming and outgoing mail, manage office supplies, and keep the reception and conferences area impeccably organized and welcoming.

  • Client Intake & Screening: Answer inbound phone calls and web inquiries with a clear, engaging, and empathetic speaking voice. Gather preliminary case details, screen leads against firm criteria, and route callers appropriately.

  • Scheduling & Calendar Management: Maintain attention to detail while coordinating and scheduling initial consultations and follow-up meetings for attorneys using calendar management software.

  • Administrative Support & Organization: Keep client records and files meticulously organized. Assist attorneys and legal staff with scanning, filing, organizing, document preparation, and data entry in legal management systems.

  • Client Communication: Send timely confirmation emails, intake forms, and reminders to prospective and current clients to ensure a seamless experience with the firm.

  • Customer Service: Minimum of 2 years of experience in customer service with a strong emphasis on client satisfaction, active listening, and conflict resolution.

  • Education: A High School Diploma or equivalent is required.

  • Bilingual Skills (Preferred): Fluency in both English and Spanish (written and verbal) is considered a strong asset.

  • Professional Presence & Voice: Exceptional verbal communication with a clear, polished, and comforting phone manner, paired with a professional presentation.

  • Organizational Mastery: Highly detail-oriented, systematic, and well-organized.

  • Technical Skills: Knowledge of Apple computers, multi-line business phone systems, and standard office software.

  • Industry & Life Experience: Knowledge of the legal industry is an asset. Real-life experience overcoming significant obstacles—giving you deep, core empathy for clients navigating difficult life transitions—is a strong plus.
