Position Summary
The Firm Administrator manages the day-to-day operations of the firm and supervises its support staff, allowing the attorneys to focus on the practice of law.
The role owns the administrative, personnel, financial operations, and systems functions of a busy two-attorney estate planning, probate, and bankruptcy practice. The Administrator is a hands-on leader who sets the operational standard for the office, keeps the firm's workflows and technology running smoothly, and ensures that client service is timely, professional, and consistent.
Responsibilities
Scope of Authority
Acting under the direction of the Managing Attorney, the Firm Administrator is authorized to:
- Direct and schedule the daily work of all support staff, including assigning tasks, setting priorities, and managing coverage.
- Lead recruiting, onboarding, training, performance management, and corrective action for non-attorney staff, in coordination with the Managing Attorney.
- Oversee billing & collections and flag exceptions for attorney review.
- Select and manage vendors and service providers within approved budget parameters, and administer firm technology and case-management systems.
- Recommend and implement process improvements, policies, and operational budgets for the Managing Attorney's approval.
Essential Duties & Responsibilities
People & Staff Supervision
- Supervise the full support team; assign and balance workloads and monitor capacity against role expectations.
- Conduct hiring, onboarding, and training; deliver regular performance feedback and annual reviews.
- Maintain job descriptions, coordinate coverage and PTO, and foster a professional, service-oriented culture.
Operations & Workflow
- Own the firm's core workflows and ensure matters move through intake, production, and delivery on schedule.
- Administer and maintain the case-management, drafting, and document systems; serve as the internal point of contact for process questions.
- Work with the Data Analyst and communicate key operational metrics (e.g., turnaround, call handling, and coverage) and report to the Attorneys.
Financial Operations
- Supervise time entry, billing, invoicing, and collections; reconcile records and escalate discrepancies.
- Coordinate accounts payable, payroll inputs, and expense tracking with the firm's bookkeeper or accountant.
- Assist in preparing and monitoring the operating budget.
Technology & Facilities
- Coordinate issues with the firm's software platforms, hardware, phone system, and IT provider.
- Oversee office facilities, supplies, insurance renewals, and vendor contracts.
Client Service & Compliance
- Assist with client telephone communication.
- Supervise and oversee client email communications.
- Support the firm's compliance with applicable professional-responsibility and confidentiality obligations.
Qualifications
Required
- Five or more years of office-management or administrative experience, preferably in a law firm or professional-services setting.
- Demonstrated staff-supervision experience and strong people-management skills.
- Proficiency with office and case-management software and comfort adopting new technology.
- Excellent organization, communication, and problem-solving skills, with strong attention to detail and discretion with confidential information.
Preferred
- Associate's or bachelor's degree, or a legal-administration or office-management certification.
- Prior experience in estate planning, probate, or bankruptcy practice.
- Familiarity with legal billing, trust-accounting concepts, and vendor management.
Compensation & Benefits
Base salary of $70,000 – $90,000, commensurate with experience and scope of responsibility, with the upper range and above reserved for a credentialed candidate carrying broad operational authority. The firm offers a competitive total-compensation package that may include health benefits, a retirement plan, paid time off, and a discretionary performance bonus.
