Mitchell & Associates, APLC is seeking an experienced, highly organized New Client Intake Specialist to manage prospective clients from their first contact with the firm through the successful opening and initial setup of their case.
This is not an entry-level receptionist position. The Intake Specialist is responsible for ensuring that potential and newly retained clients move through the intake process quickly, accurately, and professionally. The successful candidate must be capable of managing multiple potential clients simultaneously, following established procedures without constant supervision, communicating professionally with clients, and ensuring that no matter stalls because a required task was overlooked.
This Position Is Full-Time and On-site.
Handle incoming potential-client calls and obtain detailed information concerning the potential claim, injuries, medical treatment, employment, insurance and other relevant facts.
Communicate with potential clients by telephone, email, text and in person to obtain information and documents.
Prepare potential-client information for attorney review and promptly follow up on screening decisions.
Schedule and coordinate consultations.
Prepare intake and engagement documents and follow up to ensure timely completion.
Open new matters in the firm's practice-management system and ensure required information and documents are properly entered and saved.
Prepare initial new-client correspondence and letters of representation.
Initiate requests for medical records, insurance information and other documents necessary to begin the representation.
Identify insurers, adjusters, opposing counsel and other relevant parties through available databases and online research.
Track every prospective and newly retained client through completion of the intake process.
Conduct regular reviews of pending intakes and recently opened matters to identify missing documents, correspondence or other required actions.
Maintain accurate notes and documentation of all client communications and completed tasks.
Provide professional and empathetic communication to people who may be injured, frustrated or unfamiliar with the legal process.
Bachelor's degree strongly preferred.
At least 2 years of professional office experience required; prior law-firm, insurance, claims, medical-office or similar experience strongly preferred.
Prior experience handling legal intake, case opening, client onboarding or high-volume client/customer matters preferred.
Exceptional organizational skills and attention to detail.
Demonstrated ability to follow written procedures and checklists consistently.
Strong telephone presence and excellent written communication skills.
Ability to manage multiple deadlines and matters without losing track of follow-up.
Strong computer skills and ability to learn practice-management and document-management systems quickly.
Ability to work independently and recognize when a matter requires escalation.
Dependability and consistent attendance are essential.
Compensation
$24 – $27 hourly depending on experience
