Law Firm Intake Specialist

Divorce with a PlanRemote

Posted 4 hours ago

Our law office is growing fast, and we’re searching for a full-time legal intake specialist to help us succeed! You’ll serve as the compassionate voice of our law firm, fielding inbound calls from prospective clients in their time of need, screening and surveying for potential cases, and helping our lawyers manage their meetings. If the thought of coming to work every day and making a positive impact on clients’ lives excites you, start your application today!

What you will actually do

You own the front door of the firm. Every potential new client (PNC) who calls, emails, or fills out a form is yours to move from stranger to booked consultation to retained client.

  • Answer inbound inquiries fast. Speed to first contact is the single biggest driver of whether a lead converts. Our standard is minutes, not hours.

  • Run the intake conversation on a proven script. Listen first, understand the situation, then explain the next step so it makes sense to a stressed person.

  • Qualify every PNC against client profile and score fit. Not everyone who calls is a fit for this firm. You protect the calendar and the attorneys' time by identifying who is.

  • Flag the wrong-fit signals early: revenge motivation, unrealistic expectations, unwillingness to do the work, inability to pay for quality representation.

  • Book qualified PNCs into strategy consultations and confirm they show.

  • Work the follow-up cadence relentlessly. Most leads do not convert on the first touch. You chase the ones worth chasing until they say yes or no.

  • Keep the CRM clean. Every lead, every touch, every outcome logged the same day. No gaps.

  • Track and report your numbers: speed to lead, lead-to-consult rate, consult-to-retained rate, follow-up compliance.

Who you are

  • You are calm under emotional pressure. Divorce is one of the hardest moments in a person's life. You can hold that without absorbing it and without going cold.

  • You are structured. You follow a system, hit a cadence, and log your work without being reminded.

  • You can sell without sounding like you are selling. You convert by making things clear, not by pushing.

  • You listen before you solve. You can say "what I heard you say was..." and be right.

  • You are direct and confident on the phone. Callers trust you within the first minute.

  • You are competitive with yourself. You watch your conversion rate, and you want it to go up.

  • Supervise new client onboarding and current client files through data entry and paperwork collection to ensure our cases are managed efficiently
  • Take charge of various office tasks such as email correspondence, document management, data organization, and research to make sure our firm is running at peak efficiency
  • Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
  • Manage attorney schedules, including prospective client consultations, to foster caseload growth
  • Screen incoming potential client phone calls to make sure the case falls within the scope of the firm, while helping the caller feel heard and understood
  • Strong computer and data entry skills
  • Customer service or sales experience a plus
  • Previous legal experience highly valued
  • Excellent and empathetic verbal and written communication skills required
  • Familiarity with case management and CRM systems a bonus
