Law Firm Administrator

Washington Legal GroupAtlanta, GA, US

You have probably been holding a law firm together for years — without the title, the authority, or the pay that should have come with it. This is the job where you finally get all three.

Washington Legal Group, LLP is hiring a Director of Operations to run the entire business side of the firm. Not to assist with it. To run it. People, money, systems, vendors, case flow, and the office itself are yours, and you report straight to the Managing Partner with nobody in between.

This is the role for the person everyone already goes to. You are the one who spots the bottleneck before it becomes a crisis, who keeps the numbers honest, who makes a new hire feel welcome on day one, and who can tell a partner "that will not work" without it turning into a thing. Our attorneys handle the law. You make everything around them run so well that they can.

WHY YOU WILL WANT THIS ONE

  • Real authority. You are not a coordinator waiting for permission. You make the call, you own the result, and the Managing Partner backs you.

  • You build it, not inherit it. We are past what our current systems can carry. The processes, the reporting, the hiring standards — you get to design them instead of maintaining someone else's.

  • Your work is visible. In a firm this size, a month of good operations shows up in the numbers, and everyone can see it. Nothing you fix disappears into a bureaucracy.

  • A team you will actually like. Small, close, and low-drama. We work hard, we tell each other the truth, we do not do politics, and we genuinely enjoy each other.

  • Work that matters. Clients include individuals, businesses, and Georgia governments. What happens in this office affects real people and whole communities.

  • Compensation that respects the job. $70,000 to start, with room to move, performance bonus potential, full medical, dental, and vision, a 401(k) with employer matching, and paid holidays and time off.

One thing up front: this role requires prior law firm experience. We are not looking to teach someone how a law firm works. You should already know what a trust account reconciliation is, why a calendared deadline is never optional, and exactly how billing month-end feels.

If you are reading this thinking "I could fix half of that in ninety days" — that is the instinct we are hiring. Apply, and let us have a real conversation about what you would change first.

  • Own the firm's day-to-day operations and serve as the Managing Partner's right-hand on all non-legal matters

  • Lead the support team — recruiting, onboarding, scheduling, training, performance reviews, and everyday coaching

  • Set the tone for firm culture: keep morale high, address friction early, and protect a workplace people want to stay in

  • Manage billing and collections end to end — timekeeping compliance, invoicing cycles, accounts receivable follow-up, and aging reports

  • Coordinate budgeting, expense control, payroll processing, and financial reporting with the firm's bookkeeper and CPA

  • Oversee case-flow operations: intake response times, file opening standards, calendar and deadline systems, and matter status reporting

  • Track and report the numbers that matter — revenue, realization, receivables, intake conversion, staff utilization — and flag trends early

  • Manage vendors, technology, and contracts: case management software, IT support, phones, insurance, subscriptions, and the office lease

  • Write, document, and maintain the standard operating procedures that keep quality consistent as the firm grows

  • Support administrative compliance requirements — including the operational side of trust account reconciliation — working with the firm's attorneys, bookkeeper, and CPA

  • Run the office: facilities, supplies, files and records management, and a professional environment for clients who walk through the door

  • Bring problems and proposed solutions to the Managing Partner, then execute without being managed

  • 3+ years of operations, office management, or firm administration experience inside a law firm — this is a requirement, not a preference

  • Working knowledge of how a law firm actually runs: legal billing and timekeeping, client trust accounting, court and matter calendaring, conflicts and file-opening procedures, and client confidentiality obligations

  • Hands-on experience with case or practice management software (Clio, MyCase, Filevine, Smokeball, PracticePanther, or similar)

  • Direct experience supervising people — hiring, developing, evaluating, and when necessary, having the hard conversation

  • Financial fluency: comfortable with budgets, invoicing, receivables, payroll coordination, and reading a P&L

  • Strong technology skills — Microsoft 365, document management, and a willingness to learn new systems quickly

  • Exceptional organization and follow-through; you close loops without a reminder

  • Clear, warm, professional communication with clients, staff, opposing counsel's offices, courts, and vendors

  • Absolute discretion with confidential and privileged information

  • Experience with municipal, government, or public-entity clients is a strong plus

  • Bachelor's degree preferred; equivalent experience and a proven track record will be considered

Above all, we are looking for character: someone honest, steady under pressure, generous with credit, and genuinely good to work alongside.
