We are seeking an experienced Litigation Calendaring Clerk to support our litigation team by managing all case-related calendaring, monitoring deadlines, maintaining organized litigation files, and providing litigation support throughout the life of a case. The ideal candidate will have substantial experience with California state court litigation, knowledge of California procedural deadlines, and experience with electronic court filing systems. Federal court experience is highly preferred.

This position serves as a critical quality-control function within the firm and is responsible for ensuring that all hearings, motions, depositions, trials, and related deadlines are accurately tracked and calendared. The Litigation Calendaring Clerk will also perform weekly case audits, prepare reports, draft routine litigation notices and statements, and lead the firm's weekly litigation calendar meetings.

  • Calendar all litigation-related events, including:

    • Hearings

    • Motions

    • Depositions

    • Trials

    • Case Management Conferences (CMCs)

    • Mandatory Settlement Conferences

    • Arbitration proceedings

    • Discovery deadlines

    • Expert disclosure deadlines

    • Court-ordered deadlines

    • Statutory and procedural deadlines

  • Calculate and calendar all associated deadlines in accordance with:

    • California Code of Civil Procedure

    • California Rules of Court

    • Local court rules

    • Court orders and scheduling orders

    • Federal rules and local federal court rules when applicable

  • Monitor litigation calendars daily to ensure timely compliance with all deadlines and court requirements.

  • Coordinate with attorneys and support staff regarding upcoming deadlines and necessary litigation tasks.

Weekly File Audit & Compliance Reporting

  • Conduct weekly audits of all active litigation files to ensure completeness and accuracy.

  • Prepare and distribute a weekly litigation status report confirming that:

    • All newly received records have been properly saved and labeled.

    • All motions, answers, responsive pleadings, deposition notices, discovery documents, court filings, and other litigation-related documents have been properly saved to the case file.

    • All received notices and court documents have been reviewed.

    • All associated hearings, deadlines, and litigation events have been accurately calendared.

    • Any discrepancies, missing documents, or uncalendared deadlines have been identified and reported.

  • Serve as the primary quality-control reviewer for litigation file management and calendaring compliance.

Litigation Document Preparation

  • Draft and prepare routine litigation documents, including:

    • Case Management Conference (CMC) Statements

    • Notices of Posting Jury Fees

    • Deposition Notices

    • Notices of Hearing

    • Notices of Continuance

    • Notices of Ruling

    • Other litigation notices and procedural documents as assigned

  • Coordinate with attorneys to ensure timely preparation and service of court-required filings and notices.

E-Filing & Court Filing Support

  • Provide California state court e-filing support.

  • Assist with the preparation, submission, service, and confirmation of electronically filed documents.

  • Monitor filing confirmations, rejection notices, and court communications.

  • Coordinate correction and resubmission of rejected filings when necessary.

  • Assist with federal court e-filing through CM/ECF systems when required.

Litigation File Management

  • Maintain organized and accurate electronic and physical litigation files.

  • Ensure all incoming and outgoing litigation documents are:

    • Properly saved

    • Correctly labeled

    • Filed in the appropriate case location

    • Readily accessible to litigation team members

  • Establish and maintain consistent file organization procedures and naming conventions.

  • Assist attorneys and staff in locating case-related documents and litigation records.

  • Federal court litigation and CM/ECF filing experience.

  • Experience with multiple California counties and local court rules.

  • Familiarity with litigation management and document management systems.

  • Experience supporting plaintiff-side litigation practices.

Compensation

$20 hourly
