Help people take the first step toward getting immigration legal help. Berger Immigration Law is seeking an organized, empathetic Intake Specialist who can turn an initial inquiry into a clear next step—and follow through until that step is complete.

You will be the first point of contact for prospective clients, helping determine whether the firm can assist, scheduling consultations, and keeping each prospect moving through the intake process. This role requires both compassionate service and confidence discussing consultation fees, requesting payments, and following up. You will report to the Firm Administrator, or the Owner until that position is filled.

This job is for you if...

  • You can listen with empathy while guiding a conversation, asking direct questions, and identifying the next step.

  • You are comfortable explaining approved fees, asking for payment, and following up professionally without pressuring people or promising legal outcomes.

  • You enjoy working toward measurable goals and use feedback and intake data to improve your performance.

  • You document conversations promptly, keep your task list current, and close the loop without repeated reminders.

  • You can follow scripts and established procedures while remaining warm, attentive, and responsive to the person in front of you.

  • You take ownership of mistakes, communicate problems early, and work respectfully with attorneys and support staff.

  • You want an onsite role and can reliably work from the firm’s office.

This job is not for you if...

  • You are seeking a remote or hybrid position.

  • You want a reception-only role and do not want responsibility for lead qualification, payments, follow-up, or intake results.

  • You avoid fee conversations, hesitate to ask for the next step, or stop following up after one unanswered call.

  • You rely on memory instead of recording accurate CRM notes, deadlines, and next actions.

  • You resist scripts, established processes, coaching, or accountability for measurable performance.

  • You need repeated reminders to complete routine work or leave others to discover missed commitments.

  • You become impatient or dismissive when people are anxious, confused, or need an explanation repeated.

  • You are comfortable guessing at legal answers, promising case outcomes, or overlooking confidentiality to move a prospect forward.

What you will do

  • Screen incoming leads using established questions to identify legal needs, urgency, fit with the firm’s services, and potential conflicts for review.

  • Schedule qualified prospects for consultations, collect consultation payments, send preparation information and reminders, and help prospects arrive ready for their appointment.

  • Prepare the attorney or designated consultation team member with complete, accurate intake information.

  • Prepare engagement agreements using firm-approved procedures and follow up on signatures and agreed payments, subject to attorney approval of engagements.

  • Follow up consistently with people who have not scheduled, missed their consultation, or have not engaged after their consultation.

  • Record contacts, referral sources, notes, next steps, and outcomes in the CRM; maintain accurate intake reports and metrics.

  • Help people the firm cannot assist by providing approved resources or appropriate referral information.

  • Support office workflow by processing mail, preparing and tracking shipments, and printing and compiling case materials from paralegals for attorney review.

  • Protect confidential information and follow attorney supervision and firm procedures. Refer legal questions to an attorney; do not give legal advice or approve engagements.

  • Prepare and track shipping information i.e. FedEx, UPS, etc.

  • Print and compile cases from Para for attorney review.

  • Process incoming and outgoing mail.

  • Manage owner’s calendar with respect to scheduling client calls, changes in client meetings, and sales consults.

What you bring

  • Prior customer service experience (minimum 3 years) and clear, professional verbal and written communication.

  • Minimum of 3 years of experience using a CRM for data tracking and reporting; MyCase experience is preferred.

  • Education and/or work experience equivalent to a bachelor’s degree.

  • Strong organization, attention to detail, sound judgment, and reliable follow-through across multiple active leads.

  • Prior sales experience is preferred; legal industry knowledge is an asset.

  • Empathy, patience, and the ability to communicate respectfully with people facing stressful decisions.
