Intake Coordinator (Remote)

Debt Defenders by Ciment Law Firm, PLLC

Location: Remote

Job Type: Full-Time Contract

Compensation: $8.00/hour

Schedule: Monday–Thursday: 8:00 AM–5:00 PM // Friday: 8:00 AM–4:00 PM (Central Time)

When someone calls our firm, they are usually frightened, often embarrassed, and almost always out of options. You are the first person they talk to.

As an Intake Coordinator, you take inbound calls from prospective clients, listen closely enough to understand what they are actually facing, and determine whether their situation is one our attorneys can help with. You are our first filter, the person who decides which cases move forward, which practice area they belong to, and who gets the caller in front of the right specialist while they are still on the phone.

This is not a script-reading job. You will ask real questions about debt, lawsuits, income, and financial pressure, and you will need the judgment to tell the difference between a case we can help with and one we cannot. Done well, this role is the reason someone gets help instead of falling through the cracks.

This is a fully remote contract position, and we welcome applicants from outside the United States. You will need to work United States Central Time business hours and be comfortable holding a natural, confident conversation in English.

If that sounds like work you would be good at, we would like to hear from you.

  • Answer inbound calls from prospective clients promptly and professionally, and return missed calls the same day

  • Conduct a focused screening conversation to understand each caller's debts, lawsuits, and overall financial picture

  • Qualify or disqualify each case against the firm's criteria and identify the correct practice area: debt resolution, bankruptcy, consumer protection, or student loans

  • Transfer qualified callers live to the right intake specialist whenever one is available; when none is, book the consultation the same day rather than the next

  • Ask enough up front that a case is routed the first time correctly, and leave clear, useful notes for the specialist who picks it up

  • Work the shared case intake mailbox, enter web form submissions into the CRM, and keep prospective client records accurate and complete

  • Make outbound attempt-to-contact calls and follow up with new and open leads by phone, text, and email

  • Set up and verify client files, confirming documentation is complete and correct before a matter moves to the legal team

  • Join the team's brief morning and afternoon check-ins

  • Escalate questions to the team instead of guessing — putting a caller on a short hold to confirm an answer is always better than giving them the wrong one

  • Excellent spoken and written English, with a clear and professional phone presence

  • Spanish fluency is a strong advantage

  • Previous experience in legal intake, case screening, call center, customer service, appointment setting, or a similar phone-based role

  • Able to stay calm, warm, and in control with callers who are distressed, frustrated, or angry

  • Genuinely comfortable spending most of the working day on the phone

  • Strong attention to detail

  • Able to handle calls, notes, and file work at the same time without letting any of them slip

  • Strong computer skills and the ability to pick up new systems quickly; CRM experience preferred

  • Able to work United States Central Time business hours consistently

  • Reliable high-speed internet, a quiet dedicated workspace, a working computer, and a headset (an internet speed test will be requested during screening)
