Insurance Account Coordinator
BFL Solutions • Sunrise, FL, US
Posted 13 days ago
Description
BFL Solutions, an employee benefits brokerage and advisory firm serving employer groups across South Florida and the country, is seeking a full-time Employee Benefits Account Coordinator to own day-to-day client service operations. This is a foundational hire as the firm grows from a solo operation to a small team. You won't just support processes; you'll own them end-to-end: enrollments, terminations, carrier follow-up, and claims resolution.
This is a phone-forward role. The right person is comfortable picking up the phone all day calling carriers, client HR contacts, and employees and doesn't consider anything done until it's confirmed.
This is a fully IN-OFFICE position at our Sunrise, FL office. No remote or hybrid work. The job includes hands-on office responsibilities: incoming and outgoing mail (ID cards, forms, notices), some physical client files alongside our digital systems, and secure on-site shredding.
You'll work in a professional, staffed office environment.
Make sure to answer the screening questions as part of the application process. We can respond to your application faster with those questions answered.
Compensation: $48,000 – $55,000 per year, depending on experience. Florida 2-15 licensing costs paid by the firm
Responsibilities
Own new-hire benefit enrollments end-to-end: verify elections are complete, enter them in carrier portals and Employee Navigator, confirm processing, document, and close each case.
Process employee terminations weekly: enter carrier-specific coverage end dates, report COBRA events, and follow up until every carrier confirms.
Make proactive outbound calls to employees, carrier representatives, and client HR contacts to coordinate enrollment meetings and events, chase open items, and keep cases moving.
Call carriers on employees' behalf to track down and resolve claims issues, billing errors, denied or missing claims, EOB requests, and follow each one through to written resolution.
Serve as the first point of contact for client service requests (phone, email, portal); triage and route inquiries on enrollment, claims, and coverage changes.
Own the follow-up queue: every open request with a carrier or HR contact gets chased to written confirmation. Nothing falls through.
Build and maintain client groups in Employee Navigator (plans, rates, carrier feeds) and keep records accurate across carrier portals, HR platforms, and internal tracking systems.
Run post-enrollment audits comparing payroll censuses against carrier enrollments to catch missed or incomplete enrollments.
Support open enrollment cycles: data entry, census reconciliation, document preparation, and enrollment-team coordination.
Import, clean, and organize data files from carriers and HR systems (CSV/Excel) into Excel- and Airtable-based trackers.
Reconcile carrier invoices monthly and resolve eligibility or billing discrepancies
Run the recurring service calendar: monthly age-change reports, billing reconciliations, and compliance notice distribution (HIPAA, ERISA, and related requirements).
Handle office administration: outbound mailings, incoming mail, physical client files, secure shredding, scheduling, and filing.
Qualifications
2+ years in benefits, insurance agency, carrier, or HR benefits administration strongly preferred; strong administrative or customer service backgrounds with excellent Excel skills also considered.
Comfortable making outbound calls — you pick up the phone to carriers, HR contacts, and employees without hesitation, and you keep calling until the issue is resolved.
You close loops: a task isn't done until the carrier confirms in writing.
Willingness to obtain the Florida 2-15 (Life & Health) license within your first 12 months. Licensing costs paid by the firm.
Strong Excel skills: formulas, sorting/filtering, and cleaning imported data.
Bilingual in Spanish required (to support a diverse client base).
Strong written and verbal communication skills.
Comfortable learning new software systems (CRM, carrier portals, helpdesk).
Highly organized, detail-oriented, and able to manage multiple open tasks.
Ability to handle confidential information (including PHI) with discretion and professionalism.
Reliable daily commute to our Sunrise, FL office.
Systems & Technical Skills
Employee Navigator strongly preferred — we are actively migrating client groups onto it
Familiarity with Zoho Desk or similar helpdesk/CRM tools
Salesforce CRM
Experience with Airtable for data tracking and reconciliation (preferred)
Working knowledge of Microsoft 365 (Outlook, SharePoint, Excel)
Familiarity with Ease, iSolved, or ADP a plus
Compensation
$48,000 - $55,000/year
