Gaurav Gambhir is seeking a High-Level Executive Assistant (Chief of Staff Track) to support him and his companies. This is not your average Executive Assistant role; this position is designed for a highly capable operator who can serve as a trusted right-hand across multiple businesses, investments, projects, and strategic initiatives.


The ideal candidate is proactive, organized, adaptable, discreet, and solutions-oriented. You should be someone who thrives under pressure, loves solving problems, and can seamlessly shift between strategic planning and hands-on execution. This person will play a critical role in helping the executive stay focused on growth, leadership, and high-impact initiatives while ensuring operations behind the scenes run smoothly.

The person in this role will gain visibility into nearly every aspect of our company and work directly alongside ownership.


We are seeking an Executive Assistant with the ambition and capability to develop into a Chief of Staff. This position offers a clear growth path into one of the most influential leadership support roles within our organization.


This is a full-time, in-person role based in Philadelphia, PA. Candidates must be comfortable working from multiple office locations as business needs require.


Compensation & Benefits

  • Base Salary: $65,000 - $80,000, based on experience

Responsibilities

  • Serve as a trusted right-hand to the executive, ensuring seamless day-to-day operations across multiple businesses and priorities
  • Manage complex calendar scheduling, prioritizing requests, resolving conflicts, and making judgment calls to ensure optimal use of time
  • Maintain strong awareness of upcoming commitments, proactively flagging priorities and ensuring the executive is fully prepared for all meetings and obligations
  • Coordinate meetings, including scheduling, agenda preparation, reminders, and organizing virtual or in-person meetings with internal and external stakeholders
  • Monitor and manage communications, including email, voicemail, and phone calls; accurately relay messages and respond to or route inquiries in a professional and timely manner
  • Build and maintain strong working relationships with internal team members, vendors, and external partners to ensure smooth coordination across all business functions
  • Assist with the preparation, editing, and organization of presentations, reports, and executive-level documents
  • Maintain, organize, and safeguard confidential information, including business, financial, and personal documentation
  • Support basic bookkeeping, expense tracking, and coordination of financial documentation in partnership with accounting resources
  • Help plan and coordinate team events, meetings, and internal or external engagements
  • Provide operational and administrative support across both business and select personal matters as needed
  • Handle day-to-day tasks and ad hoc requests, including errands and hands-on support when required to ensure efficiency and follow-through
  • Act as a proactive problem-solver who anticipates needs, follows through relentlessly, and ensures nothing falls through the cracks
  • Support the executive in staying focused on high-impact priorities by taking ownership of the administrative and operational workload
  • Thrive in a highly task-oriented environment with a strong focus on checklists, organization, and execution excellence

Qualifications

  • 3+ years of experience supporting a high-level executive, founder, or business owner
  • Previous Chief of Staff, Executive Assistant, Operations, or Project Management experience strongly preferred
  • Flexibility for evening and weekend support when needed, except during hosted events
  • Exceptional organizational and time management skills
  • Strong business acumen and ability to think strategically
  • Extremely detail-oriented with outstanding follow-through
  • Ability to multitask and manage competing priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Tech-savvy and quick to learn new systems and platforms
  • Strong problem-solving skills and the ability to operate independently
  • Comfortable working with strong personalities and high expectations
  • Financial, operations, real estate, or investment experience is a plus
  • Ability to anticipate needs and take initiative without constant direction
  • Positive attitude, strong work ethic, and commitment to excellence
