Position Summary

PROVIDENCE IN-HOME CARE SERVICE is seeking an experienced, organized, and people-focused Healthcare Recruiter & Scheduling Coordinator to join our growing remote team.

This position combines healthcare recruitment, talent acquisition, employee onboarding, and workforce scheduling into one dynamic role. You will play a critical role in attracting exceptional caregivers, guiding candidates through the hiring process, coordinating employee onboarding, and ensuring clients receive dependable, high-quality care through effective scheduling and workforce management.

The ideal candidate is an excellent communicator, relationship builder, and problem solver who thrives in a fast-paced environment. This role requires someone who can balance recruiting priorities with scheduling responsibilities while delivering an outstanding experience for both applicants and caregivers.

This is a fully remote position open to qualified candidates residing anywhere within the United States.

Responsibilities

Essential Duties and Responsibilities

Talent Acquisition & Recruitment

  • Manage the full-cycle recruitment process for caregivers and administrative staff.

  • Develop and post engaging job advertisements across Indeed, LinkedIn, ZipRecruiter, and other recruitment platforms.

  • Source qualified candidates using multiple recruiting strategies, networking, referrals, and community outreach.

  • Review applications and resumes to identify qualified candidates.

  • Conduct phone screenings and virtual interviews.

  • Coordinate employment verifications, background checks, and pre-employment requirements.

  • Maintain consistent communication with applicants throughout the hiring process.

  • Build and maintain a strong pipeline of qualified caregivers to support agency growth.

  • Partner with leadership to develop recruiting strategies that attract high-quality healthcare professionals.

Employee Onboarding

  • Coordinate onboarding activities for newly hired employees.

  • Ensure employment documents, licenses, certifications, and required compliance records are completed before employment begins.

  • Prepare onboarding documentation and orientation materials.

  • Maintain accurate employee records and personnel files.

  • Track credential expirations and assist with renewal reminders.

Scheduling & Workforce Coordination

  • Coordinate caregiver schedules based on client needs, employee availability, experience, and geographic coverage.

  • Fill open shifts promptly while maintaining continuity of care.

  • Respond to call-offs and last-minute scheduling changes with professionalism and urgency.

  • Communicate scheduling updates with caregivers and clients.

  • Monitor staffing coverage and proactively address scheduling challenges.

  • Support workforce planning to maximize caregiver utilization and client satisfaction.

Employee & Client Relations

  • Serve as a primary point of contact for caregivers regarding scheduling, assignments, and employment-related questions.

  • Build positive relationships with caregivers through regular communication and ongoing support.

  • Assist clients and families with scheduling-related inquiries.

  • Work collaboratively with agency leadership to improve employee engagement and caregiver retention.

  • Provide exceptional customer service to internal and external stakeholders.

Compliance & Documentation

  • Maintain accurate recruitment, onboarding, scheduling, and employee records.

  • Ensure compliance with agency policies, HIPAA requirements, and applicable employment regulations.

  • Prepare staffing, recruitment, and scheduling reports for leadership.

  • Maintain strict confidentiality of applicant, employee, and client information.

  • Assist with compliance reviews, audits, and quality improvement initiatives.

Operational Support

  • Collaborate with agency leadership on workforce planning and operational initiatives.

  • Recommend improvements to recruitment, onboarding, and scheduling processes.

  • Participate in virtual meetings, training sessions, and agency projects.

  • Support additional administrative and human resources initiatives as assigned.

Qualifications

  • Associate's degree required; Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.

  • Minimum of two (2) years of experience in healthcare recruiting, staffing coordination, scheduling, talent acquisition, or workforce management.

  • Experience recruiting caregivers, CNAs, HHAs, PCAs, nurses, or other healthcare professionals preferred.

  • Excellent interviewing, communication, and interpersonal skills.

  • Strong organizational and time-management abilities.

  • Proficiency with Microsoft Office Suite, Google Workspace, applicant tracking systems (ATS), and scheduling software.

  • Ability to work independently while managing multiple priorities in a remote environment.

  • Must reside in the United States and be legally authorized to work in the United States.

  • Reliable high-speed internet connection and a dedicated professional home office.

  • Availability to work during Eastern Time business hours.

Preferred Qualifications

  • Experience working in home care, home health, hospice, healthcare staffing, or healthcare recruiting.

  • Knowledge of caregiver credentialing and healthcare employment practices.

  • Experience using scheduling software, HRIS platforms, CRM systems, or electronic health record (EHR) systems.

  • SHRM, PHR, healthcare recruiting, or related certifications are a plus.

  • Bilingual candidates are strongly encouraged to apply.

Physical Requirements

  • Ability to work at a computer for extended periods.

Work Environment

This is a fully remote position supporting the recruitment and workforce scheduling operations of PROVIDENCE IN-HOME CARE SERVICE. The Healthcare Recruiter & Scheduling Coordinator will work from a secure home office while collaborating virtually with agency leadership, caregivers, applicants, clients, and community partners across the United States.

The successful candidate should be comfortable working independently, managing competing priorities, and maintaining strong communication with team members while supporting agency operations during Eastern Time business hours.
