Seeking an experienced Full Charge Bookkeeper to own the day-to-day financial operations of an intellectual property boutique law firm. This is a hands-on role responsible for the complete accounting cycle, from transaction entry through month-end closing and financial reporting. Because we are a law firm, the role also carries responsibility for client trust (IOLTA) accounting, which requires precision, discretion, and a working knowledge of Florida Bar trust-accounting rules. This position requires an individual who is also able to forecast firm needs weeks in advance of key financial events and report the forecasting projections to management.

The position also supports payroll, HR administration, and employee onboarding and offboarding, including maintaining employee records and coordinating routine employee-related processes.


We offer flexibility: this position is structured at 25 to 37.5 hours per week, with a hybrid schedule that combines in-office days with remote work. For the right candidate who is not in close proximity, we may consider 100% remote. Candidates should be comfortable working independently and communicating proactively with attorneys and staff.

General Accounting

• Manage the full accounting cycle, including accounts payable, accounts receivable, general ledger, and month-end and year-end close

• Reconcile all bank, credit card, and loan accounts monthly

• Prepare journal entries, accruals, and adjusting entries

• Maintain the chart of accounts and ensure transactions are coded accurately

• Prepare monthly, quarterly, and annual financial statements (P&L, balance sheet, cash flow) and management reports

• Coordinate with the firm's outside CPA on tax filings, year-end adjustments, and audits

Trust (IOLTA) Accounting

• Maintain client trust accounts in compliance with Florida Bar rules and IOLTA requirements

• Perform monthly three-way reconciliations (bank statement, trust ledger, and individual client ledgers)

• Record client deposits, disbursements, and transfers; ensure funds are never commingled

• Prepare trust account records for internal review and bar compliance audits

• Flag any discrepancies immediately to firm leadership

Billing & Collections

• Review and assess correctness of invoices before sending

• Generate and send client invoices from attorney time and expense entries in the firm's practice management system

• Apply payments, monitor aging, and follow up on outstanding balances

• Track and bill client costs advanced (filing fees, court reporters, experts, etc.)

• Forecast and project firm financial needs weeks in advance of any firm expenditures

• Assist attorneys with billing questions and write-off requests

Payroll & Compliance

• Process payroll (or coordinate with the payroll provider), including timekeeping, benefits deductions, and reimbursements

• Prepare and file sales/use tax, 1099s, and other required filings

• Maintain vendor records, W-9s, and expense documentation

• Support annual budget preparation and cash flow forecasting

Human Resources (HR)

• Maintain accurate and confidential personnel records

• Process employee status and compensation changes

• Assist with benefits administration and employee updates

• Track PTO, holidays, and leave records

• Respond to routine HR questions and escalate issues as needed

• Support HR compliance and related administrative requirements

Employee Onboarding & Offboarding

• Manage new-hire onboarding and required employment documentation

• Coordinate first-day access, information, and setup needs

• Maintain onboarding checklists and confirm required steps are completed

• Coordinate employee offboarding and required documentation

• Notify appropriate parties of employee starts and separations

Administrative

• Maintain organized and audit-ready financial records

• Handle sensitive financial, client, and employee information confidentially

• Assist with internal controls and process improvements

• Communicate outstanding items, deadlines, and issues to management

Required

• 5+ years of full-charge bookkeeping experience, including month-end close and financial statement preparation

• Experience with trust/IOLTA accounting at a law firm or similar professional services environment

• Proficiency in QuickBooks (Online or Desktop) and Microsoft Excel

• Experience with legal billing or practice management software (e.g., Clio)

• Strong understanding of GAAP and accrual and cash-basis accounting

• Exceptional attention to detail and accuracy

• Unequaled trustworthiness

• Ability to work independently, manage deadlines, and communicate clearly with attorneys and staff

• High degree of integrity and discretion with confidential information

Preferred

• Associate's or Bachelor's degree in Accounting, Finance, or a related field

• Certified Bookkeeper (AIPB) or QuickBooks ProAdvisor certification

• Familiarity and experience with Florida Bar trust accounting rules (Rule 5-1.1 and 5-1.2)

• Experience with payroll platforms (Gusto, ADP, Paychex, etc.)

Compensation

$25 - $28.50 hourly
