We are hiring a Front Desk & Office Operations Coordinator to become the welcoming, dependable center of our Atlanta office. This position combines professional reception, office coordination, administrative support, and special projects. You will be the first point of contact for clients, candidates, partners, and team members while helping the office operate smoothly behind the scenes.

  • Create an exceptional first impression. Welcome clients, candidates, partners, vendors, and team members; maintain a polished reception area; and ensure visitor procedures are followed consistently.

  • Manage communication flow. Answer and route incoming calls and general inquiries, take accurate messages, and ensure requests reach the appropriate person promptly.

  • Coordinate schedules and meeting spaces. Schedule appointments, manage conference room calendars, prepare meeting areas, and help prevent conflicts.

  • Keep office operations moving. Manage mail, deliveries, outgoing shipments, office supplies, and routine requests involving building management or service providers.

  • Support meetings, events, and onboarding. Help prepare materials, workspaces, refreshments, and other logistics for meetings, candidate visits, training sessions, company events, and new team members.

  • Provide administrative support. Assist staff and leadership with document preparation, scanning, filing, data entry, research, follow-up, and related assignments requiring accuracy and follow-through.

  • Protect confidential information. Handle client, candidate, employee, and business information with sound judgment, discretion, and respect for company procedures.

  • Contribute across the team. Take on delegated assignments and special projects, adapt when priorities shift, and identify practical ways to improve office processes.

  • Relevant experience. At least two years of experience in reception, office coordination, administrative support, client service, hospitality, or a comparable professional environment is preferred.

  • Education. A high school diploma or equivalent is required. An associate degree, bachelor’s degree, or relevant professional training is a plus, not a requirement.

  • Administrative capability. Comfort using Microsoft Office, Outlook, shared calendars, virtual meeting platforms, and standard office equipment, with the ability to learn new systems quickly.

  • Clear communication. Strong verbal and written communication skills, sound judgment, and the ability to represent the firm professionally with many different audiences.

  • Organization and follow-through. Excellent attention to detail, time management, prioritization, and the discipline to close the loop on assignments.

  • Strong team acumen. A collaborative approach, a willingness to support others, and an understanding that individual success and team success are connected.

  • Flexibility and adaptability. Comfort with changing priorities, learning new processes, and taking on different responsibilities as the organization grows.

  • Ownership and dependability. Consistent punctuality, reliable follow-through, personal accountability, and the initiative to act without requiring constant direction.

  • Relationship orientation. A natural ability to build trust with colleagues, clients, candidates, partners, and vendors while maintaining appropriate professionalism.

  • Growth mindset. Openness to coaching, curiosity, and genuine motivation to earn greater responsibility over time.

  • Long-term career mindset. A sincere interest in establishing yourself within the organization, contributing to what the team is building, and growing with TruOak rather than treating the position as a short-term stop.

Compensation

$45,000 - $55,000
