The Front Desk Administrator plays a critical role in supporting clients and the legal team by managing the office calendar, meeting spaces, and front office operations. This role ensures every client receives a warm welcome and a smooth, organized onboarding experience from the moment they walk through our doors.


Please note that this role does require you to be on-site in Marietta, Ga.

Responsibilities

As a Front Desk Administrator, you will:

  • Greet clients, guests, attorneys, and employees with warmth and professionalism
  • Create a positive and welcoming first impression on behalf of the firm
  • Ensure visitors are comfortable by offering beverages, snacks, and assistance as needed
  • Maintain the cleanliness and organization of the front office, entryways, conference rooms, and restrooms
  • Ensure conference rooms are clean, stocked, and fully functional (furniture, technology, window treatments, and appliances)
  • Manage and proactively coordinate calendars and meeting rooms to avoid scheduling conflicts
  • Schedule client calls and meetings, ensuring legal team calendars are accurate and efficient
  • Prepare and facilitate engagement agreements as directed by the legal team
  • Accurately process client payments and ensure daily completion
  • Manage incoming and outgoing mail, deliveries, and packages
  • Open and maintain client files in the Client Management Software, cloud storage, and physical filing system
  • Support Client Relationship Managers and legal team members by preparing files and materials for daily meetings
  • Update tasks and client information in the Client Management Software daily
  • Perform general administrative and office support duties as needed

Qualifications

Required Skills/Abilities:

  • Ability to multitask in a fast-paced environment. Must be able to maintain a pleasant and calm demeanor under stress/uncertainty
  • Excellent verbal communication skills
  • Excellent interpersonal and customer service skills
  • Strong attention to detail
  • Basic understanding of administrative and clerical procedures and systems
  • Proficient with CRM database, Microsoft Office, and Mac OS
