The Financial Analyst and Client Service Associate is the service and operational backbone of Big Money Retirement’s client experience — the first voice a client hears when they call, the team member who turns advisor recommendations into funded accounts, and the person who keeps every financial transaction moving accurately from initiation through confirmed completion. This is a combination role that draws from three core disciplines of the Client Success department: client communication and service resolution, account onboarding and paperwork processing, and asset movement and transaction operations. Rather than specializing in one area, this associate operates across all three, bringing a broad, integrated capability that allows the Firm to serve clients without handoff gaps.
This role requires equal parts professionalism and precision. On any given day, the Analyst may be answering an inbound client call, reviewing new account paperwork, processing a transfer of assets, executing a maintenance request, tracking a trade, or managing an RMD deadline. What remains constant across every task is the standard: every client interaction is handled with professionalism and care, every case is documented completely in Salesforce same-day, and every deadline is tracked and met. The associate works within the structured and aligned leadership ecosystem of the Client Success department and carries full accountability for the quality, accuracy, timeliness, and completeness of all assigned client work.
Client Communication & Service Delivery
• Serve as the primary inbound point of contact for clients and advisors — answering all calls and emails promptly, authenticating client identity before accessing or discussing any account information on every interaction without exception, and resolving client needs at the point of contact whenever within scope. When a request requires routing to a specialist, create a complete, context-rich case so the receiving team can act without re-contacting the client.
• Process standard account maintenance requests — including address changes, beneficiary updates, banking updates, and name corrections — after confirming all required documentation is complete and correctly authorized. Address changes must be confirmed across all applicable platforms (Signal, Schwab, and all carriers) before any case is closed. Maintain all in-process maintenance requests in Salesforce and complete standard requests within the Firm’s 2-business-day service standard.
• Maintain proactive communication with clients and advisors throughout all open cases — providing status updates before they are requested, setting clear resolution timelines on every interaction, and escalating complex or unresolved issues to the EVP of Client Success with full documentation and a recommended next action. No client should ever need to initiate contact to ask where their case stands.
Account Onboarding & Paperwork Processing
• Take handoff from advisors following allocation meetings, reviewing all new account paperwork for completeness, correct account coding, required signatures, and appropriate documentation before any submission to a custodian or carrier. Open new accounts within the Firm’s 5-business-day service standard from receipt of all required documents, tracking each case in Salesforce from submission through confirmed account establishment.
• Manage TOA (Transfer of Assets) cases from initiation through completion, distinguishing between ACAT and Non-ACAT transfers, obtaining all required documentation, submitting paperwork accurately, and monitoring custodian status until each transfer is fully settled. Communicate weekly with clients during the onboarding phase regardless of whether there is a status change, and escalate any stalled or rejected transfer with full context and a recommended resolution.
• Process annuity and insurance contract applications from advisor handoff through carrier completion, reviewing all required documentation before submission, tracking open contracts toward the monthly completion target, coordinating corrections and resubmissions within 48 hours when issues arise, and maintaining proactive advisor communication on carrier receipt, outstanding requirements, and final status.
Asset Operations & Transaction Management
• Process all asset movement requests — including non-onboarding TOAs, internal transfers, account-to-account movements, and recurring or standing instruction setups — within the Firm’s 1 to 2 business day service standard, confirming cash availability before initiating any transaction and monitoring each movement from initiation through custodian confirmation with complete Salesforce documentation throughout.
• Monitor required minimum distributions (RMDs) for assigned client households throughout the calendar year, maintaining current status on amounts required versus distributed, communicating proactively to advisors and paraplanners on outstanding or at-risk RMDs, and escalating any RMD approaching the annual deadline with enough lead time for resolution.
Salesforce Documentation, Compliance & Professional Standards
• Document every client interaction, case update, maintenance action, asset movement, trade execution, and follow-up touchpoint in Salesforce on a same-day basis. Every record must be complete and immediately actionable by any team member without requiring clarification from the team member who created it. Authentication must be documented on every client interaction without exception.
• Adhere strictly to all compliance standards governing the Analyst role — including client authentication, case documentation completeness, information security, and trade authorization requirements. Identify and escalate any unusual account activity, processing discrepancy, or compliance concern to the EVP of Client Success immediately, without attempting to resolve compliance-sensitive matters independently.
