The Executive Operations & Client Experience Coordinator is responsible for keeping Team Allessio organized, responsive, and operating at a high level every day.


You will become the central point of coordination for clients, referral partners, and the leadership team. This role combines executive support, client service, project coordination, and daily operations. You'll serve as the primary executive support to Team Lead Chris Allessio by managing email, priorities, scheduling, communication, client onboarding, CRM organization, and ensuring nothing falls through the cracks.

Deliver an outstanding client experience while helping leadership focus on clients, relationships, recruiting, and strategic growth. This role is expected to evolve as Team Allessio grows. Responsibilities

Core Responsibilities

  • Manage the executive calendar, meetings, travel, and priorities.
  • Respond promptly to new leads and schedule consultations.
  • Coordinate the client experience from first contact through closing.
  • Maintain an accurate CRM and organize follow-up.
  • Support Realtor and referral partner relationships.
  • Coordinate client events, gifts, and appreciation initiatives.
  • Improve systems and processes that help the team operate more efficiently.


A Day in the Life

Every day is different. You might welcome a first-time homebuyer, prepare Chris for an important Realtor meeting, organize client appreciation gifts, coordinate a Lunch and Learn, answer client questions, and make sure tomorrow's schedule is fully prepared.

Qualifications

  • Outstanding written and verbal communication skills.

  • A hospitality mindset with a genuine passion for serving people and delivering a white-glove experience.
  • Strong organization, time management, and the ability to prioritize multiple responsibilities.
  • Professional phone, email, and in-person communication.
  • High attention to detail with consistent follow-through.
  • Strong problem-solving skills, sound judgment, and high emotional intelligence.
  • Self-starter who takes initiative and thrives with minimal supervision.
  • Proficiency with Microsoft 365 and comfort learning new technology and AI-powered tools.


Preferred

  • 2+ years supporting an executive, sales professional, or leadership team.
  • Experience in mortgage, banking, real estate, title, escrow, financial services, or another client-focused industry.
  • Experience with CRM platforms (Salesforce, MORE, HubSpot, or similar).
  • Experience coordinating executive calendars, events, or client appreciation programs.
  • Experience working in a fast-paced, high-accountability environment.
