The Executive Assistant to the CEO serves as a highly trusted strategic partner responsible for providing comprehensive executive, administrative, operational, and project management support to the Chief Executive Officer.
This role goes beyond traditional administrative functions and requires exceptional judgment, discretion, business acumen, and the ability to operate as an extension of the CEO.
The Executive Assistant acts as a gatekeeper, liaison, project coordinator, and trusted advisor, ensuring the CEO's priorities are executed efficiently while maintaining seamless communication across the firm.
The ideal candidate is proactive, highly organized, resourceful, and capable of anticipating needs before they arise in a fast-paced, high-growth personal injury law firm.
Responsibilities
Executive Leadership Support
Serve as the primary strategic support partner to the CEO
Manage competing priorities and ensure alignment with CEO objectives
Act as a gatekeeper while maintaining positive relationships with internal and external stakeholders
Provide recommendations and solutions to improve executive productivity and efficiency
Anticipate challenges, identify potential issues, and proactively resolve problems before they escalate
Maintain strict confidentiality regarding sensitive business, financial, personnel, and legal matters
Executive Calendar & Priority Management
Manage complex professional and personal calendars
Prioritize appointments, meetings, speaking engagements, networking events, and firm commitments
Ensure the CEO's time is allocated toward high-value activities and strategic priorities
Conduct calendar audits and recommend schedule optimization
Coordinate all executive meetings and leadership planning sessions
Executive Communications
Draft, edit, and review executive correspondence, emails, presentations, and announcements
Prepare talking points, briefing documents, and meeting summaries
Serve as liaison between the CEO and attorneys, staff, vendors, referral partners, clients, and community leaders
Assist with public-facing communications and executive branding initiatives
Monitor communication workflows to ensure timely responses and follow-up
Leadership Team Coordination
Coordinate leadership meetings, retreats, and strategic planning sessions
Prepare agendas and meeting materials
Document meeting minutes and executive decisions
Track leadership commitments and accountability measures
Facilitate communication between departments on behalf of the CEO
Business Operations Support
Assist the CEO in monitoring firm performance metrics and operational initiatives
Prepare dashboards, reports, and executive summaries
Conduct research and gather information to support strategic decision-making
Travel & Event Management
Coordinate all business and personal travel arrangements
Prepare comprehensive travel itineraries and briefing packets
Manage executive participation in conferences, networking events, speaking engagements, and firm functions
Coordinate executive dinners, client events, and community engagements
Personal Executive Support
Manage personal scheduling, appointments, and administrative matters
Coordinate family-related logistics and personal projects as requested
Handle confidential personal matters with discretion and professionalism
Maintain personal task tracking systems and priority lists
Qualifications
Bachelor's degree preferred
Minimum 5+ years supporting C-level executives
Experience supporting a CEO, Managing Partner, Founder, or Business Owner preferred
Exceptional written and verbal communication skills
Advanced proficiency with Microsoft Office, Google Workspace, and project management platforms
Strong business judgment and decision-making skills
Ability to manage multiple priorities with minimal supervision
Demonstrated ability to handle confidential information with discretion
Strong project management and organizational skills
