Executive Assistant to Managing Partner
Marshall & Taylor, PLLC is seeking an exceptional Executive Assistant to the Managing Partner to serve as a trusted partner in supporting the Managing Partner's professional responsibilities and helping the firm operate at its highest level.
This is not a traditional administrative position. We are looking for someone who is highly organized, proactive, resourceful, discreet, and exceptionally dependable—someone who naturally thinks several steps ahead and takes pride in making a busy executive's life more organized and productive.
The right person will become a trusted extension of the Managing Partner, helping manage priorities, calendars, communications, meetings, projects, and follow-up. You will frequently be given a desired outcome rather than a step-by-step set of instructions, and you will be expected to determine what needs to happen and make it happen.
You will work with confidential information and interact with attorneys, clients, business partners, vendors, and other professionals. Judgment, professionalism, discretion, and the ability to communicate effectively with a wide range of people are essential.
The ideal candidate is someone who notices what needs to be done before being asked, follows through relentlessly, keeps important matters from falling through the cracks, and can calmly bring order to a fast-moving environment.

Executive Support & Organization
Manage and proactively organize the Managing Partner's calendar, appointments, meetings, commitments, and priorities.
Help the Managing Partner stay focused on the highest-value responsibilities by anticipating needs, organizing information, and managing competing priorities.
Prepare for meetings by gathering information, organizing materials, confirming logistics, and ensuring appropriate follow-up.
Track commitments, deadlines, projects, and follow-up items so that important matters do not fall through the cracks.
Serve as an effective gatekeeper, helping manage incoming requests and determining what requires immediate attention.
Draft, organize, proofread, and manage correspondence, presentations, documents, and other communications.
Handle sensitive and confidential information with exceptional discretion and professionalism.
Project & Firm Support
Take ownership of special projects from beginning to completion, often working with limited direction.
Coordinate projects involving attorneys, staff, vendors, and outside professionals.
Research issues, gather information, organize findings, and present information in a clear and useful manner.
Help develop and maintain systems that improve organization, efficiency, communication, and accountability.
Follow up with others when necessary to ensure projects and commitments are completed on time.
Assist with firm initiatives, meetings, events, and other activities involving the Managing Partner and firm leadership.
Communication & Relationship Management
Communicate professionally and confidently with attorneys, employees, clients, vendors, business partners, and other professionals.
Represent the Managing Partner and the firm with professionalism, courtesy, and sound judgment.
Maintain appropriate boundaries and confidentiality when dealing with sensitive personal, financial, business, personnel, or client information.
Build productive relationships with key people inside and outside the firm.
Proactive Problem Solving
Identify problems before they become problems and bring solutions—not simply questions—to the Managing Partner.
Anticipate needs and take appropriate action without waiting to be asked.
Continuously look for ways to improve the Managing Partner's efficiency and effectiveness.
Take ownership of responsibilities and follow through until the job is complete.
Other Responsibilities
Assist with occasional personal or family-related scheduling and logistical matters as appropriate for an Executive Assistant supporting a Managing Partner.
Handle other projects and responsibilities as needed.
5+ years of experience in an Executive Assistant, Senior Executive Assistant, Chief of Staff, Executive Coordinator, Office Manager, or in a similarly high-responsibility role.
Demonstrated experience supporting a senior executive, business owner, attorney, or other high-level professional.
Exceptional organizational and time-management skills with a demonstrated ability to manage multiple priorities simultaneously.
Highly proactive and self-directed—able to anticipate needs, identify problems, and take action without waiting for instructions.
Exceptional attention to detail and follow-through.
Strong written and verbal communication skills.
Excellent judgment and discretion when handling confidential and sensitive information.
Ability to interact comfortably and professionally with executives, attorneys, clients, employees, vendors, and other professionals.
Strong technology skills and the ability to quickly learn new software and systems.
Ability to take a project from an idea or general objective through completion with minimal supervision.
Strong problem-solving skills and the ability to remain calm and organized when priorities change.
Professional, polished, dependable, and trustworthy.
Comfortable working in a fast-paced environment where priorities can change and no two days are exactly alike.
Demonstrated ability to take ownership rather than simply complete assigned tasks.
A bachelor's degree is preferred but not required.
