Reidy Law Office is seeking an experienced Executive Assistant to work directly with the Owner and help create greater structure, focus, and execution throughout the Firm.

This is not a traditional administrative assistant role. The right person will become a trusted right-hand who helps protect the Owner’s time and attention, manages competing priorities, prepares him for meetings, keeps commitments from falling through the cracks, and turns conversations and ideas into organized next steps. You should enjoy taking incomplete information, asking good questions, determining what needs to happen next, and following through until the matter is actually complete.

A successful Executive Assistant will gradually learn how he thinks, communicates, prioritizes, and makes decisions. As trust and demonstrated judgment grow, so will the level of responsibility and independence in the role. The long-term goal is for this person to become someone the Owner and team can rely on to know what is happening, what needs attention, and what should happen next.

This is a full-time, primarily in-office position in Orland Park, Illinois. Because the role depends heavily on developing a close working relationship with the Owner, candidates should expect to work in the office. Additional flexibility may become possible over time based on performance, trust, and the needs of the Firm, but remote or hybrid work should not be expected at the outset.

  • Manage and protect the Owner’s calendar, schedule meetings, coordinate priorities, and help ensure his time is being used on the Firm’s highest-value activities.

  • Help manage the Owner’s email and communications by filtering routine messages, identifying items requiring attention, preparing draft responses, and ensuring important matters are addressed.

  • Prepare the Owner for meetings by gathering necessary reports, documents, background information, prior commitments, and other relevant context.

  • Capture decisions, assignments, and follow-up items after meetings and conversations, then track those items through completion without requiring repeated reminders.

  • Maintain systems for the Owner’s tasks, commitments, deadlines, projects, and open loops so important matters do not depend on memory.

  • Help gather recurring business information and reports, schedule appropriate review time, and ensure the Owner receives the right information at the right time.

  • Assist with tracking and reconstructing the Owner’s professional time and activities so billable and nonbillable work is accurately documented.

  • Handle confidential Firm and personal information with excellent judgment, discretion, and professionalism while progressively taking greater ownership of routine decisions and administrative matters.

  • Demonstrated experience supporting an executive, owner, senior leader, or other high-responsibility professional is strongly preferred.

  • Exceptional organization and follow-through; you create systems to track commitments rather than relying on memory.

  • Strong judgment and the ability to think through a problem before escalating it.

  • Ability to manage multiple priorities, changing demands, and interruptions while remaining calm and organized.

  • Excellent written and verbal communication skills.

  • Comfortable drafting professional emails, correspondence, agendas, summaries, and follow-up communications.

  • Strong technology aptitude and willingness to learn new software, systems, workflows, and AI tools.

  • High level of discretion and comfort handling confidential business and personal information.

  • Ability to accept direct feedback, learn how another person operates, and adjust your approach accordingly.

  • Proactive work style: you look ahead, anticipate needs, identify missing information, and follow through without waiting to be reminded.

  • Comfortable respectfully pushing back, asking clarifying questions, and protecting an executive’s time when appropriate.

  • Ability to work full-time primarily in our Orland Park office.

  • Prior law-firm experience is helpful but not required.

Compensation

$65,000 - $75,000 yearly
