The Executive Assistant is the operational and strategic backbone of a high-performing real estate team. This role combines administrative excellence with client-focused service, while also contributing to business strategy, systems development, and financial insight. You'll manage listings, oversee marketing initiatives, coordinate vendors, and support both the team owners and agents across business and personal domains. This is a full-time, fast-paced role with occasional weekend or after-hours needs based on client demands or team coverage.


Compensation & Benefits

  • Salary Range: $60,000 – $70,000 (based on experience)
  • Paid Time Off (PTO)
  • Bonuses are considered after a 60-day review

Responsibilities

Agent & Team Support

  • Serve as the right hand to the team owners, removing tasks from their plates so they can focus on coaching agents, building systems, and improving business operations, particularly around finances.
  • Assist multiple agents with administrative tasks and client care.
  • Help manage and evaluate business operations, including reviewing Profit & Loss (P&L) reports and building clear, strategic financial scorecards.
  • Proactively identify opportunities for greater efficiency and cost-effectiveness in operations, including software and system usage.
  • Help build and maintain foundational systems within the CRM, such as follow-up campaigns, lead nurturing processes, and sales support tools
  • Manage daily office operations, vendor coordination, and scheduling.
  • Automate and streamline internal processes where possible to increase efficiency.
  • Schedule and coordinate meetings, appointments, and travel.
  • Track team caps and fees associated with closing transactions.
  • Maintain team databases and manage lead flow and follow-up assistance.
  • Celebrate past clients’ birthdays and home anniversaries with thoughtful, systematic processes.
  • Help manage the onboarding process for all new agents; assist in their training as well.
  • Maintain Google Drive and all operational organization that comes with it.
  • Support Joymarie and Cory with personal tasks that enable them to stay focused on leadership.

Listing Coordination & Transaction Management

  • Prepare listing paperwork (e.g., disclosures, listing agreements).
  • Input and maintain listing data in KW Command, Bright MLS, and syndicated platforms.
  • Coordinate professional photography, signage, and home preparation/staging.
  • Create custom landing pages, ListReports, and reverse prospecting lists.
  • Set up and manage ShowingTime; schedule appraisals and walk-throughs.
  • Coordinate municipal requirements (e.g., Use & Occupancy inspections).
  • Help guide clients through the contract-to-close process with excellent communication.

Buyer Coordination & Transaction Management

  • Prepare buyer paperwork (e.g., disclosures, buyer agency agreements).
  • Input and maintain buyer data in KW Command and Bright MLS (listing drips).
  • Set up and coordinate showings at times for lead agents.
  • Help guide clients through the contract-to-close process with excellent communication.

Marketing & Exposure

  • Manage marketing, through our marketing department, for our listings.
  • Initiate and execute online and print campaigns to drive visibility in the form of mailers and more.
  • Help maintain a consistent and professional team brand across platforms.

Team Support Structure

  • You will work within a collaborative team environment that values excellence, systems, and service. During high-volume periods or time off, additional internal support ensures continuity and responsiveness across all responsibilities.

Qualifications

Key Requirements:

  • Proven experience supporting leadership or managing administrative processes.
  • Outstanding organization and strong attention to detail.
  • Tech-savvy with proficiency in Google Workspace, KW Command, Bright MLS, ShowingTime, social media platforms, and more.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize, and work independently with minimal supervision.
  • Strong interpersonal skills with a customer-service mindset.
  • Ability to maintain confidentiality and professionalism.
  • Real estate experience preferred; PA license required or willingness to obtain within the first 6 months (team will reimburse).
